Job Description

Key Responsibilities:


Event Planning & Execution

  • Event Calendar Adherence:

    Ensure all events are conducted as per the predefined annual calendar with strict adherence to scheduled timelines.
  • Timely Execution:

    Oversee that all conferences are executed within 60 days and awards within 75 days post-approval, with review meetings held immediately after completion.
  • New IP Development:

    Strategically conceptualize and launch at least one innovative and differentiated IP event by Q4 each year.


Team Leadership & Performance

  • Team Optimization:

    Allocate responsibilities and resources effectively among team members for smooth and efficient execution.
  • Project Diversity:

    Rotate and assign varied projects to team members to boost creativity and avoid monotony.
  • Mentorship & Training:

    Actively coach, mentor, and upskill the team to drive consistent performance and growth.
  • Performance Monitoring:

    Set KPIs and continuously assess team progress against event goals and production cycles.


Stakeholder & Speaker Management

  • Speaker Selection:

    Curate the right mix of industry-relevant and influential speakers for each event.
  • Relationship Building:

    Establish strong, structured communication channels with key speakers, industry leaders, and stakeholders to ensure long-term engagement.


Sales Collaboration & Lead Generation

  • Lead Generation:

    Identify potential business opportunities through speaker interactions and seamlessly pass quality leads to the business development team.
  • Daily Outreach:

    Make a minimum of 8 outreach calls daily to promote the event agency’s services and maintain industry presence.

 

Monitoring & Reporting

  • Quarterly Event Reviews:

    Evaluate the progress of 14 planned events (conferences and awards) quarterly and provide detailed reports to stakeholders by the last week of March, June, September, and December.


Team Collaboration & Culture

  • Foster a collaborative team environment through ongoing team-building activities and a strong focus on morale and culture.


Requirements:

  • Bachelor’s or Master’s degree in Event Management, Marketing, Mass Communication, or related field.
  • 6+ years of experience in event planning, production, or conference management, with at least 2 years in a leadership role.
  • Proven experience in handling B2B conferences, awards, or large-scale IPs.
  • Excellent team management and interpersonal skills.
  • Strong industry network with good contacts for speakers and corporate stakeholders.
  • High proficiency in project planning, budgeting, and execution.
  • Exceptional verbal and written communication skills.
  • Ability to multitask and meet tight deadlines in a fast-paced environment.
  • Strong decision-making skills with a solution-oriented mindset.
