Job Summary:

The Front Office Executive / Reservation Manager will be responsible for ensuring smooth operations of the front office and reservations department. This includes handling guest check-ins and check-outs, managing room inventory, coordinating with other departments, maximizing room revenue through effective reservation management, and maintaining the highest level of guest satisfaction.

Key Responsibilities:

Front Office Operations:

  • Oversee daily front desk operations including guest arrivals, departures, and billing.
  • Ensure smooth and efficient check-in/check-out procedures.
  • Handle guest inquiries, complaints, and requests in a professional manner.
  • Maintain guest records, room allocation, and occupancy reports.
  • Supervise front office staff, provide training, and ensure adherence to service standards.
  • Coordinate with housekeeping and maintenance for room readiness and guest requests.

Reservations Management:

  • Manage and monitor all incoming reservations through various channels (phone, email, online portals, OTA, GDS, etc.).
  • Optimize room inventory to maximize occupancy and revenue (yield management).
  • Handle group bookings and coordinate with sales and marketing for special offers or corporate bookings.
  • Maintain updated knowledge of room rates, packages, and promotions.
  • Prepare daily, weekly, and monthly reports on occupancy, revenue, and forecasts.

Guest Relations:

  • Ensure high levels of guest satisfaction through personalized service and attention to detail.
  • Handle VIP guests and special requests.
  • Gather guest feedback and ensure continuous service improvement.

Required Skills & Competencies:

  • Excellent communication and interpersonal skills.
  • Strong leadership and team management abilities.
  • Proficiency in hotel management software (e.g., Opera, IDS, Cloud PMS, Fidelio).
  • Knowledge of OTA platforms and channel managers.
  • Good understanding of revenue management principles.
  • Customer-focused with strong problem-solving skills.
  • Ability to work under pressure and in a fast-paced environment.
  • Attention to detail and a high degree of professionalism.
