Job Description

The Front Desk Receptionist serves as the first point of contact for visitors and clients. This role is responsible for managing front desk operations, handling incoming communications, and ensuring a welcoming and professional environment. The receptionist also provides administrative support to various departments as needed.

Key Responsibilities

1. Front Desk & Customer Service

  • Greet and welcome visitors, clients, and employees in a professional and friendly manner.
  • Answer, screen, and route phone calls efficiently.
  • Maintain a clean, organized, and presentable reception area at all times.
  • Provide accurate information to guests and respond to inquiries promptly.

2. Administrative Support

  • Manage incoming and outgoing mail, packages, and courier services.
  • Schedule appointments, meetings, and conference room bookings.
  • Maintain visitor logs, employee directories, and contact lists.
  • Assist with data entry, filing, photocopying, and document management.
  • Support HR and admin teams with basic tasks and coordination.

3. Operational Tasks

  • Ensure office supplies/ Inventory at the front desk are stocked and maintained.
  • Coordinate with facility management for repairs and maintenance issues.
  • Follow security protocols, including issuing visitor passes and monitoring access.

4. Additional Responsibility: Schedule & Calendar Management (CMD/CEO)

  • Maintain and manage the daily schedules of the CMD and CEO, including appointments, meetings, and travel plans.
  • Coordinate internal and external meetings, ensuring timely communication with relevant stakeholders.
  • Prepare meeting agendas, reminders, and follow-ups for CMD/CEO commitments.
  • Ensure seamless time management by prioritizing appointments and preventing scheduling conflicts.
  • Handle confidential information with professionalism and discretion.

Qualifications

1. Skills

  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, Outlook) and office equipment.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Professional appearance and behavior.
  • Strong organizational and multitasking abilities.
  • Basic knowledge of real estate operations and terminology is an advantage.

2. Education & Experience

  • Bachelor’s degree (mandatory) – preferably in Business Administration, Real Estate, Communications, or related fields.
  • 5 –8 years of experience in front desk, customer service, or administrative support roles.
  • Experience in real estate or executive support is an added advantage.

Job Type: Full-time

Pay: ₹30,000.00 - ₹40,000.00 per month
