Facility Manager
Work Dynamics
What this job involves:
Tracking of Facility Operating Expenses
Coordinate events, conference, and meeting room setup with BU and internal CES teams
Meet and tailor make events to meet the specific requirements of each event while ensuring that the highest quality of service is delivered.
Coordinate with EGS team as well as other relevant departments to ensure the smooth running of events.
Ensure that all staff are following the company’s Health & Safety regulations and are using all equipment safely and correctly.
Routinely Inspect all contracted services to ensure performance measures are being maintained
Build and maintain good relationship with clients and the relevant departments BU admins. Regular catchup and taking feedback to implement
Arrange training for team members. and briefings
Ensure service staffs are in the correct uniform & service is as per company standards
Processing of all invoices for payment timely
Tracking, verifying and reviewing all JLL and Facility related invoices
Client billing / invoicing and follow up fir invoice submission.
Monitoring of Housekeeping related activities and KPI
Vendor management and weekend activities
Managing and tracking the house keeping related inventories
Arrangement of all consumables and supplies for Client / VIP visits
Interfacing with the pest control for carrying out the pest control activities at the facility.
Preparing the Daily/Weekly and Monthly reports
Taking facility rounds and find out snags and logging complaint with the Corrigo. Follow up and close the complaint logged.
Effectively manage Facility team to ensure an on time deliverable system.
Ensure the Housekeeping Team is managed efficiently according to the established concept statements and adhere to company’s Policies and Procedures
Ensure the level of service standards and cleanliness of the property, particularly the Gym Room, Cafeteria/ pantry and Conference rooms, meet the set standard of the company
Work closely with Reception, Catering, Facilities and Amenities and Property service teams to provide logistic support for events
Ensure that all Housekeeping related services/ items are properly inventoried and monitored.
Waste management and record keeping
Recruit, select and develop Housekeeping employees / vendors to work following the operational, financial, administrative philosophies willing to become multi skilled and perform multi tasks.
Effectively manage Facility team to ensure an on time deliverable system.
Routinely Inspect all services to ensure performance measures are being maintained
Provide assistance to FM in all administrative functions and Facility services and any other administrative functions deemed by Client
Ownership of the Day to day administration, including reports generation of the stocks tracker.
Muster all the housekeeping staff of the shift before deployment and communicate the priorities of the day.
Inspect the turn out and attendance of the staff and sign the shift register
Meet the housekeeping in charge during the shift to discuss and communicate priorities for the shift and address complaints
Communicate to the FM all incidents issues and pending problems
Take rounds of the facility regularly to identify issues in and initiate immediate rectification actions
Prepare weekly monthly shift rosters for the team
Closely monitor weekend activities and ensure all the work orders are closed by end of the month
To provide comprehensive management of services covering all facility services to the client with the focus of continuous improvement
To achieve financial and other targets given by FM/Campus lead.
Achievement of the service level agreements and ensure zero KPI penalties

Graduation and diploma in hotel management
Minimum five years’ experience in hotel industry or Corporate industry
