Key Responsibilities:


A) Export & Import Documentation

  • Prepare, verify, and maintain export and import documentation such as

    Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, Letter of Credit, etc.

  • Ensure documentation complies with customs regulations, INCOTERMS, and buyer requirements.


B) Shipping & Logistics Coordination

  • Liaise with

    shipping lines, freight forwarders, and CHA (Custom House Agents)

    for timely booking of shipments.
  • Monitor shipment schedules, container movement, and ensure on-time dispatch/delivery.
  • Coordinate inland transport (road/rail/air) for export cargo and import consignments.


C) Customs & Regulatory Compliance

  • Handle

    custom clearance procedures

    and ensure adherence to export-import policies.
  • Maintain updated knowledge of DGFT, EXIM, and customs rules.
  • Apply for

    export incentives (MEIS/RODTEP/RoSCTL, etc.)

    and track claims.


D) Negotiation & Cost Management

  • Negotiate freight rates, handling charges, and transportation costs with forwarders and shipping agents.
  • Ensure cost-effectiveness while maintaining efficiency in operations.


E) Incentives & Documentation Schemes

  • Manage and file claims for

    RODTEP, Drawback, EPCG, Advance License

    and other export incentive schemes.
  • Ensure accurate record keeping and follow-up with DGFT and related authorities.


F) Stakeholder Coordination

  • Communicate with buyers, suppliers, and internal departments regarding shipment status and documentation.
  • Handle queries related to export-import formalities and shipment tracking.


G) Record Keeping & Reporting

  • Maintain updated records of shipments, documents, and regulatory submissions.
  • Generate MIS reports on freight cost, shipment performance, and pending clearances.


Key Skills Required:

  • Strong knowledge of

    export-import documentation

    and shipping procedures.
  • Familiarity with

    Bill of Lading, Certificate of Origin, INCOTERMS, Customs procedures, and Freight forwarding.

  • Good understanding of

    DGFT schemes, RODTEP, and export incentives.

  • Excellent negotiation and coordination skills.
  • Attention to detail with accuracy in documentation.
  • Proficiency in MS Office (Excel, Word) and ERP/Logistics software.
  • Ability to handle pressure and meet shipment deadlines.


Qualification & Experience:

  • Graduate/Postgraduate in

    International Business, Commerce, Logistics, or Supply Chain Management.

  • 5–8 years of experience in

    export documentation, logistics, or international trade.

  • Knowledge of

    custom clearance procedures

    and

    import-export regulations

    is mandatory.
