Job Description

Job Title: Export Executive

Location: Jalandhar, Punjab


Job Overview:

We are looking for an experienced and detail-oriented Export Executive to manage end-to-end export operations, documentation, logistics, and coordination with internal departments, buyers, banks, and shipping partners. The role requires strong communication skills, knowledge of export processes, and the ability to manage timelines efficiently.

Key Responsibilities:1. Export Order Management
  • Handle export order communication with buyers.
  • Prepare and share Proforma Invoices (PI) and discuss advance payment terms.
  • Send Purchase Acknowledgement (PA), follow up for approval, and coordinate advance payments.
  • Share order details with relevant internal departments and ensure deadlines are met.
  • Provide shipment updates and tracking information to customers.
2. Logistics & Freight Coordination
  • Coordinate with shipping lines and freight forwarders for sea and air shipments.
  • Obtain freight quotations, compare rates, and negotiate for the best pricing.
  • Manage logistics arrangements for export orders.
  • Ensure shipment checklists are approved by consignees/buyers.
3. Export Documentation
  • Prepare and verify shipping documents:
  • Commercial Invoice
  • Packing List
  • Certificate of Origin
  • Other export-related certificates as required
  • Coordinate export incentive documentation including:
  • Duty Drawback
  • RoDTEP
  • ROSL
  • Maintain tracking of incentive claims and related DGFT processes.
  • Manage the sale or import of RoDTEP/ROSL licenses when required.
4. Bank & Payment Handling
  • Process export payments and submit documents for Bank Realization Certificate (BRC).
  • Manage payment set-off with the bank.
  • Handle import payments, import logistics invoices, and documentation.
  • Manage Letters of Credit (LC) and related banking documentation.
5. Data Management
  • Maintain detailed export records including:
  • Shipment value
  • Weight
  • Foreign currency amount
  • INR value
  • Prepare and maintain export summaries and MIS reports.
6. Packaging & Labelling
  • Coordinate labeling and packaging requirements once the order is confirmed.
  • Prepare final packing lists and shipment checklists.
Required Skills & Competencies
  • Strong knowledge of export procedures, documentation, and logistics.
  • Familiarity with DGFT, duty drawback, RoDTEP, and other export incentive schemes.
  • Good communication and coordination skills.
  • Ability to manage multiple shipments and tight deadlines.
  • Proficiency in MS Excel and document handling.
  • Experience with LC documentation and bank processes (preferred).
Qualifications
  • Bachelor’s degree in Commerce, Business Administration, International Trade, or a related field.
  • 1–3 years of experience in export operations (preferred).
