Export Documentation Executive (Shipping Line / Freight Forwarding)

Job Overview:

Export Documentation Professional

Key Responsibilities:

  • Prepare and verify export documentation

    such as:
    • Shipping Bills, Bill of Lading (B/L), Invoice, Packing List, Certificate of Origin, and related documents.
  • Coordinate with

    shipping lines, CHA (Custom House Agents), freight forwarders, and port authorities

    for timely clearance and dispatch.
  • Handle

    VGM, SI submission, draft BL approval

    , and related shipping documentation in line with customer and port requirements.
  • Maintain regular communication with

    buyers, suppliers, transporters, and shipping agents

    to ensure accurate documentation and timely updates.
  • Ensure compliance with

    DGFT, Customs, and port regulations

    .
  • Track shipments and manage post-shipment documentation such as:
    • EP Copy, EGM filing, and submission of BLs to customers or banks.
  • Handle

    LC (Letter of Credit)

    document preparation and scrutiny (if applicable).
  • Maintain digital and physical filing systems for easy document retrieval.
  • Support the finance team in

    logistics invoicing, payment follow-up, and reconciliation

    .

Qualifications & Experience:

  • Graduate / Postgraduate (preferably in Commerce, International Trade, or Logistics).
  • 2–5 years of experience

    in export documentation from a

    shipping line, CHA, or freight forwarding company

    .
  • Strong understanding of

    INCOTERMS, export procedures, and customs clearance

    .
  • Proficiency in

    MS Office, shipping portals, ICEGATE, and online documentation systems

    .
  • Excellent communication skills (written & verbal).
  • Ability to work

    independently and manage multiple shipments simultaneously

    .

  • Mode:

    Hybrid / Work From Home / Part-Time (as per project or shipment cycle).
  • Working Hours:

    Flexible; must be available during key documentation and shipping deadlines.
  • Location:

    Open (priority to candidates with prior shipping documentation remote handling experience).
