Job Description

Role & responsibilities

  • To handle HR and Admin works at Factory for workers , staff, Recruitment, Attendance, payroll, Safety, contract labor , NAPs Apprentice, Training, security , CCTV, daily reports, HRMS portal, reporting to Head HR

Preferred candidate profile

Bachelors/Masters Degree in human resources,/ or Doing MBA

  • 3-6 years of management experience in HR field in a manufacturing set up, Candidates having working experience of in HSE Compliance related matters would be highly preferred
  • Good personality and communication in Marathi, Hindi and English
  • Good analytical, problem-solving skills, MS Exel, MS office, HRMS portal
  • Experienced in mediation and conflict resolution processes
  • Should have own bike and willing to commute to Bhosari MIDC
  • Preferably stay within 15 Km of our factory.

HRMS portal.

  • Single point of responsibility for effective maintenance of Bio metric Digital HR systems implemented.
  • HRMS set up and monitoring, roll out. Error free reports and time calculations.
  • Training of employees, new employees
  • Monitor late coming/ early going cases.

Recruitment

  • Maintain organization chart/ apex chart at factory
  • Interview co-ordination for staff positions.,
  • Visiting ITI institutes
  • Co-ordinate with Yashaswi agency for manpower needs.
  • Hiring workers and apprentice.
  • Maintain Job description of all positions, validate with HODs.
  • Maintain vacancy position details, xl chart, organization chart, Job specification,
  • Maintain candidate tracker in xl . status of cvs, interviewed, selected, hold,
  • Share reports on daily/ weekly/ monthly basis.
  • Look and connect suitable candidates in ITI colleges, Job portals
  • Find suitable candidates from other job sites like Naukri.com, indeed and other sites
  • Shortlist suitable CVs as per Job description, conduct tele / VC/ interviews.
  • Data entry in the CV tracker sheet
  • Co-ordinate with Hiring Managers/ HODs for conducting interviews
  • Get income proof / other documents of candidates.
  • Reference check of candidates from previous employers.
  • Release and track of offer letters. Keep track of rolled offers and ensure communication till date of joining.

Joining formalities and induction.

  • Formal welcome the candidates,
  • Collect all documents and complete the personal file documentation as per check list
  • introduction to his/ her team.
  • Prepare on job training of workers, monitor their progress
  • Issue of Job description within 01 week sign off candidate and HOD.
  • Responsible for all hiring and training procedures for new employees.

Employee Training.

  • Arrange Safety training
  • Organize / Co-ordinate for any trainings as per Management approvals.
  • Keep record all trainings conducted,
  • Prepare a yearly calendar, organize trainings,

Employee performance

  • Monitor the probation period,
  • Get assessment from Line managers/ HODs.
  • Issue of confirmation letters/ extension letters
  • Record of confirmation / extension letter.
  • Co-ordination for any salary increase matters agree.
  • Updating in monthly payroll.
  • Maintain track of PIP reports
  • Track improvement plan and follow up the Line Managers/ HODs
  • Counselling with employees for performance
  • Compiling worker productivity reports.

Compliance

  • Single point contact for administering or change benefits, health plans, retirement plans, etc.
  • PF , pension cases co-ordination.
  • EISC case co-ordination

Grievance Handling.

  • Regularly meet with employees for progress reviews and assessments, discussing any problems or grievances they may have
  • Escalate the matter to concerned level; for redressal, maintain records

Customer HR compliance.

  • Meet the requirement of customers, timelines.
  • Keep ready all documents as per customer HR requirement

and provide HR documents

Attendance, Leaves and salary processing.

  • Ensuring time discipline, counselling.
  • Ensuring Attendance records for all Staff and Workers (Permanent/Contractual) and providing the same to the Accounts and Finance Team for payroll processing
  • Prepare salary sheets and send for Head HR Approval.
  • Co-ordination with SSS consultant, Accounts dept.

Policy and SOP making.

  • Prepare list of documented policies required at factory
  • Co-ordinate for policy making, draft, approval of management.
  • Document various SOPS.

Admin Support activities

  • CCTV working, AMC
  • House Keeping rounds in factory
  • Visiting cards, email, Internet connection
  • Co-ordination of admin support staff
  • Any other responsibilities delegated by Senior Management on an ad-hoc basis, to be carried out with Manager HR & Admin

Employee Engagement activities

  • Prepare annual plan and budget
  • Execute activities
  • Festival celebrations .
  • Postings on social media.

Exit formalities.

  • Track resignation, keep record
  • Responsible for the exit documentation and clearance procedures
  • Issue of experience letters
  • Full and final settlement follow-up
  • Close personal file
