Work Experience

Should have 3-5 years of experience as an assistant or secretary to the MD of a company, (but here we do not need a conventional E.A.

At times an office coordinator is also good, but who has steady experience in admin, coordinating.

EXCELLENT FOLLOW UP SKILLS is Mandatory

Female, Married, preferably with kids.

There should be job stability, not someone who has been jumping jobs often. Should be honest.

Should be open to doing personal tasks of boss (like attending phone calls, mails, followups etc.)

Educational Qualification

Should have graduated from a secretarial college.

An Executive Assistant (EA) provides high-level administrative support to an executive or a group of executives, managing their schedules, communications, and other tasks to ensure smooth operations and efficient workflow. They handle a wide range of responsibilities, including managing calendars, scheduling meetings, handling correspondence, preparing documents, and coordinating travel arrangements. Key Responsibilities of an Executive Assistant:

  • Calendar Management: Scheduling and managing appointments, meetings, and travel arrangements.
  • Communication Management: Handling correspondence, including emails, phone calls, and other forms of communication.
  • Document Preparation: Creating, editing, and managing documents, reports, and presentations.
  • Meeting Coordination: Scheduling and organizing meetings, including preparing agendas, taking minutes, and distributing materials.
  • Travel Arrangements: Booking flights, accommodations, and transportation for executives.
  • Expense Management: Tracking and managing expenses, including preparing expense reports.
  • Project Support: Assisting with project management tasks, such as tracking deadlines and coordinating with team members.
  • Office Management: Ensuring the smooth functioning of the office, including managing supplies, equipment, and facilities.

Skills Required for an Executive Assistant:

  • Strong Communication Skills:Excellent written and verbal communication skills are crucial for interacting with internal and external stakeholders.
  • Organizational Skills:The ability to manage multiple tasks, prioritize effectively, and meet deadlines is essential.
  • Proficiency in Microsoft Office Suite:Expertise in Word, Excel, PowerPoint, and Outlook is typically required.
  • Attention to Detail:The ability to maintain accuracy and completeness in all tasks is important.
  • Problem-Solving Skills:The ability to identify and resolve issues independently is valuable.
