Job Summary

managing follow-ups, coordinating social media activities, and supporting e-commerce operations

Key Responsibilities

1. Executive & Administrative Support

  • Manage the Directors calendar, OPD schedules, meetings, and appointments.
  • Handle emails, calls, WhatsApp, and official correspondence; ensure timely responses and follow-ups.
  • Draft and review emails, letters, proposals, and reports.
  • Maintain confidential records, files, and documents.

2. Follow-ups & Coordination

  • Track tasks, commitments, and approvals; ensure

    regular follow-ups with internal teams and external partners

    .
  • Coordinate with doctors, HR, accounts, vendors, agencies, and consultants.
  • Maintain follow-up trackers and update the Director on status and delays.

3. Social Media & Digital Coordination

  • Coordinate with the digital marketing team / agency for social media posts, campaigns, and updates.
  • Ensure timely sharing of hospital, doctor, product, or brand-related content.
  • Monitor basic engagement, comments, and messages; escalate important queries.
  • Maintain content calendars, approvals, and brand communication alignment.

4. E-Commerce & Online Business Support

  • Assist in managing e-commerce operations (product listings, image coordination, descriptions, pricing updates).
  • Coordinate with website developers and e-commerce partners for updates, corrections, and improvements.
  • Follow up on image quality, product display, zoom features, and customer experience issues.
  • Support order-related coordination, vendor communication, and issue resolution (as required).

5. Documentation & Reporting

  • Prepare MIS reports, meeting minutes, presentations, and summaries.
  • Maintain records of agreements, vendors, agencies, and digital partners.
  • Track deadlines, deliverables, and performance updates.

6. Hospital Operations & Special Projects

  • Support OPD planning, camps, events, outreach programs, and CSR activities.
  • Assist in NABH coordination and documentation as directed.
  • Support special assignments, partnerships, and campaigns.

7. Confidentiality & Compliance

  • Handle sensitive information with complete confidentiality.
  • Ensure compliance with hospital policies, ethical standards, and data privacy norms.

Required Qualifications

  • Graduate / Postgraduate in any discipline (MBA / Mass Communication / Digital Marketing preferred).
  • 2–5 years of experience

    as an Executive Assistant, Operations Coordinator, or similar role.
  • Working knowledge of

    social media platforms, e-commerce workflows, and website coordination

    .
  • Proficiency in MS Office, email drafting, documentation, and basic digital tools.
