Job Description

Executive Assistant to Managing Director
Key Responsibilities
  • Manage the Managing Director's calendar: plan, schedule and coordinate appointments and meetings; provide reminders and maintain daily and weekly commitments proactively.
  • Act as primary point of contact: receive, screen and prioritize calls and emails; take messages and respond based on the MD's guidance.
  • Prepare and manage documentation: take dictation, draft and edit correspondence, agendas, minutes, presentations, briefs and reports; capture action items and follow up.
  • Arrange travel and visitor logistics: handle ticketing, hotel reservations and local arrangements for the MD, senior executives and outstation visitors.
  • Support VIP/HNI relations and events: assist select HNI and VIP customers, coordinate critical outdoor catering, party orders and VIP reservations.
  • Coordinate with suppliers and vendors: obtain and compare quotations, raise purchase orders, negotiate terms, manage purchases and follow up on deliveries and payments (including international suppliers).
  • Support projects and communications: manage communications for projects, new launches and expansion activities under the MD's purview; track assigned tasks and timelines.
  • Conduct research: undertake primary and secondary research to develop concise briefs, reports and presentations within set timelines.
  • Maintain records and confidentiality: organize physical and electronic files, preserve confidential data and ensure secure handling of sensitive documents.
  • Provide training and onboarding: impart induction and training to staff whose functions relate directly or indirectly to the MD's office.
  • Oversee facilities coordination: coordinate maintenance, upkeep and repairs of corporate and outlet/store infrastructure as directed.
  • Proactively follow up: observe and record discussions, translate them into actionable plans and monitor implementation and outcomes.
Special Requirements
  • EA is required to work 9 hours per day according to the assigned shift.
  • Compensatory off will be provided if EA works on their weekly off; it must be availed within 30 days and cannot be combined with the weekly off.
  • EA will be entitled to one weekly off per week (any one day from Monday to Sunday).
  • Management reserves the right to make decisions and changes as required.
