Job Description

Key Responsibilities

  • Manage a dynamic calendar, prioritizing appointments, property viewings, design reviews, and travel schedules.
  • Prepare correspondence, proposals, presentations, and briefing materials to ensure the Director is fully informed ahead of meetings.
  • Coordinate with internal teams, contractors, designers, brokers, and external partners to streamline communications.
  • Handle sensitive business and personal matters with the highest level of discretion.
  • Support the Director in nurturing and managing relationships with clients, investors, and collaborators.
  • Ensure all communications and interactions reflect the companys professionalism, design sensibility, and commitment to excellence.
  • Maintain accurate records of client preferences, project details, and follow-up actions to facilitate long-term partnerships.
  • Track milestones and deliverables for furniture design projects and real estate transactions.
  • Liaise with project stakeholders to ensure timelines are met and details are executed to standard.
  • Conduct research on market trends, materials, suppliers, and property developments to support strategic decisions.
  • Coordinate complex travel itineraries, including international arrangements.
  • Organize company events, exhibitions, and client-facing activities that showcase brand values and design philosophy.
  • Manage logistics for board meetings, off-site sessions, and property showcases.
  • Oversee expense reporting, invoicing, and budget monitoring for projects and executive activities.
  • Assist in preparing financial summaries and investment documentation.
  • Ensure compliance with contractual and administrative requirements for both furniture and property projects.

Qualifications - Required

  • Bachelor’s degree in Business Administration, Communications, Real Estate, Design, or a related field.
  • Minimum 7+ years of experience supporting senior executives in real estate, design, architecture, or related industries.
  • Strong proficiency with Microsoft Office Suite and/or Google Workspace, along with project management tools (e.g., Asana, Monday.com).
  • Outstanding organizational and multitasking abilities, with meticulous attention to detail. • Excellent written and verbal communication skills.
    • Proven ability to handle confidential information with professionalism and integrity.

Qualifications - Preferred

  • Previous experience coordinating design projects or property transactions.
    • Familiarity with the real estate market, contracts, and staging/marketing processes.• Multilingual capabilities are an advantage for working with international stakeholders.
