Job Description

Role Overview: As an Executive Assistant for the Franchise team, you will be responsible for providing crucial support to the Regional Senior Vice Presidents of Franchise across three Regions. Your main duties will include managing their schedules, coordinating meetings, handling travel arrangements, expenses, and various administrative tasks. Your professionalism, discretion, and ability to work independently will be essential in ensuring the executives can focus on strategic initiatives. Key Responsibilities: - Manage calendars and schedule meetings across different time zones. - Arrange domestic and international travel, including flights, cars, hotels, and visa applications. - Perform general administrative duties to support department operations and provide coordination across teams. - Prepare and manage expense reporting in compliance with company policies. - Plan and coordinate events, both on- and off-site, involving internal and external participants. - Assist in onboarding new team members and prepare documentation for signature. - Create and edit presentations, reports, meeting materials, and other communications. - Maintain agendas for recurring team meetings and manage corporate applications and compliance programs. - Conduct research on complex issues on behalf of the executives and serve as an administrative liaison. - Participate in ad hoc administrative programs and utilize spreadsheets or databases for departmental information monitoring. - Collaborate with others within and outside the company and have the opportunity to engage in development opportunities based on personal interests and goals. Qualifications Required: - Previous administrative experience in a corporate environment, working with senior and executive-level management. - Ability to multitask effectively in a collaborative setting while maintaining confidentiality and discretion. - Proficiency in Microsoft Office Suite, particularly Outlook, and excellent oral and written communication skills in English. - Strong team player with decisiveness, results-driven mindset, high energy level, and sense of ownership. - Experience working in a multi-matrixed organization and across various timezones.
