Job Description

As an Executive Assistant for the Franchise team at our company, your main role will involve providing essential support to the Regional Senior Vice Presidents of Franchise in three different regions. Your responsibilities will include managing their schedules, coordinating meetings, making travel arrangements, handling expenses, and taking care of various administrative tasks. It is crucial for you to maintain a high level of professionalism, discretion, and confidentiality while working independently to enable the executives to focus on strategic initiatives effectively. **Key Responsibilities:** - Responsible for calendar management and scheduling meetings across different time zones. - Make travel arrangements, including booking flights, cars, and hotels, both domestically and internationally. Process visa applications when required. - Perform general administrative duties to support day-to-day department operations and ensure coordination across teams. - Manage and prepare expense reporting according to the company's Travel and Entertainment policy. - Plan and coordinate events, both on-site and off-site, involving internal and external participants. Coordinate with guest speakers, catering, venue booking, and other event-specific needs. - Support the onboarding process for new team members. - Prepare documentation for signature and execution. - Create and edit presentations, reports, meeting materials, and other communications. - Maintain agendas for various recurring team meetings. - Manage and communicate corporate applications and compliance programs such as Access Management, Vivo, Concur, Oracle, and other internal applications. - Handle ad hoc administrative programs for the department and utilize spreadsheets or databases to monitor departmental information. - Research complex issues on behalf of the executives. - Serve as an administrative liaison with internal and external stakeholders. - Opportunity to participate in various development opportunities based on personal interests and goals. **Qualifications Required:** - Administrative experience in a corporate environment interacting with senior and executive-level management and senior customers. - Comfortable with multitasking in a highly collaborative setting. - Uphold a high degree of confidentiality and discretion. - Proficient in Microsoft Office Suite, particularly Outlook. - Excellent oral and written communication skills in English. - Strong team player, decisive, results-driven, with a high energy level and a strong sense of ownership. - Effective in working in a multi-matrixed organization across various time zones. In addition to the responsibilities and qualifications mentioned, you will be expected to adhere to Mastercard's security policies and practices, ensure the confidentiality and integrity of accessed information, report any suspected information security violations or breaches, and complete all mandatory security trainings as per Mastercard's guidelines.,
