The Executive Assistant I provides high-level administrative support to Senior Executives - Managing Director (MD) –AGS India. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant I will work closely with other leaders in the region and across departments to ensure the successful planning and execution of activities that align with the company's strategic goals.
• Administrative Support: Provide comprehensive administrative support to the MD & Senior executives, including managing calendars, scheduling meetings, coordinating travel arrangements and submitting expenses
• Communication: Serve as the primary point of contact between the MD and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality.
• Event Planning: Plan, coordinate and manage corporate events, conferences and board meetings. Offsite and team-building activities. Handle logistics, corporate gifting, incentive trips to ensure successful execution. Coordinate with global teams for Global Leadership visits. Monitor and evaluate event performance, providing post-event reports and recommendations for improvement.
• Research and Analysis: Conduct research and provide insights on various topics as requested by the senior executives. Compile data and create reports to support decision-making.
• Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for meetings. Ensure the MD is well-prepared for all engagements.
• Project Management: Assist in the planning and execution of special projects and initiatives. Track progress and ensure deadlines are met.
• Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
• Travel: Open to travel in short notice for business purposes.
• Bachelor’s degree in business administration, Communications, hospitality management or hotel management or a related field preferred.
• Minimum of 6+ years of experience as an Executive Assistant or in a similar role supporting senior executives.
• Strong organizational and time management skills.
• Excellent written and verbal communication abilities.
• Proven experience in planning and managing regional events.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and as part of a team.
• High level of professionalism and discretion.
• Strong problem-solving skills and attention to detail.
