We are seeking an exceptional and highly skilled Personal Secretary to support our CEO in a fast-paced and dynamic civil materials logistics company. The successful candidate will be the first point of contact for the CEO and will be responsible for managing their schedule, communications, and administrative tasks with utmost efficiency and discretion. This role requires advanced expertise in secretarial duties, excellent communication skills, and the ability to maintain confidentiality and handle high-pressure situations. Key Responsibilities: 1. Scheduling & Coordination: - Manage the CEO's schedule, including meetings, appointments, and travel arrangements. - Coordinate with internal stakeholders, clients, and external partners to ensure smooth communication and meeting arrangements.2. Communication: - Handle incoming and outgoing calls, emails, and correspondence on behalf of the CEO. - Respond to queries and requests in a timely and professional manner. - Ensure all communications are accurate, concise, and reflect the company's image.3. Administrative Support: - Prepare and edit documents, presentations, and reports as required by the CEO. - Maintain accurate and up-to-date records, including meeting minutes and action items. - Ensure the CEO's workspace is organized and well-maintained.4. Travel Arrangements: - Book travel arrangements, including flights, hotels, and transportation. - Prepare travel itineraries and ensure the CEO has all necessary documents.5. Confidentiality and Discretion: - Maintain confidentiality and discretion in all matters related to the CEO and the company. - Ensure sensitive information is handled and stored securely. Requirements: 1. Qualifications: - Graduate degree in any discipline, with a preference for Secretarial Practice, Business Administration, or related fields. - Certification in Secretarial Practice or Administration would be an added advantage.2. Experience: - Minimum 5-7 years of experience in a similar role, preferably in a corporate setting. - Experience in handling high-level executives, CEOs, or Boards of Directors.3. Skills: - Excellent communication and interpersonal skills, with high fluency in English. - Advanced expertise in secretarial duties, including scheduling, correspondence, and document management. - Proficiency in Microsoft Office, Google Suite, and other productivity tools. - Ability to work under pressure, prioritize tasks, and meet deadlines.4. Personal Qualities: - Energetic, intelligent, and proactive with a positive attitude. - Strong attention to detail and organizational skills. - Ability to maintain confidentiality and handle sensitive information.
