Event Specialist

As an Event Execution specialist, your primary responsibility will be to liaise and coordinate with selected vendors to ensure the smooth execution of events according to the schedule. You will work closely with the client servicing team, providing them with detailed plans for event execution and giving feedback on the production progress. Additionally, you will handle the processing of invoices, total cost sheets, and post-event tasks. It will be your duty to propose cost-effective solutions to clients without compromising on the quality of the final output. Implementing cost-saving measures and obtaining quotations from multiple vendors are crucial steps to maximize event profitability. In terms of post-event processing, you will be responsible for ensuring that all expense head bills are readily available for audit purposes. Vendor management will entail preparing a comprehensive vendor database, negotiating competitive rates, and coordinating with vendors for timely deliveries and task execution. Furthermore, you will be expected to implement corporate systems and procedures, maintain necessary documents and reports, and submit market reports to the Production Manager. This role reports directly to the Production Manager and requires a high level of independence while seeking guidance from the same. Your key internal contacts will include the Manager Finance and the Client Servicing team, while external interactions will involve vendors and client representatives.
