Role Overview:

Event Management Executive

Key Responsibilities:

Event Planning & Coordination

• Assist in planning and organizing in-person, virtual, or hybrid events including corporate events, conferences, product launches, exhibitions, and internal team events
  
• Prepare detailed event proposals, timelines, run-of-show documents, and budgets
  
• Coordinate logistics including venue booking, catering, dcor, signage, audio/visual setup, and transportation.

Vendor & Stakeholder Management

• Liaise with suppliers, agencies, venues, and third-party vendors to ensure timely delivery of services
  
• Negotiate pricing and service agreements with external partners
  
• Communicate event requirements and updates to internal stakeholders and clients

On-Site & Virtual Execution

• Oversee on-site/virtual event execution, including setup, guest registration, and issue resolution
  
• Ensure event schedules are followed and troubleshoot any last-minute changes or problems
  
• Manage event staff, volunteers, or contractors as needed

Nice-to-Haves:

• Experience with event software or platforms (e.g., Cvent, Eventbrite, Hopin, Zoom)
  
• Knowledge of design tools (e.g., Canva, Adobe Creative Suite) for event materials
  
• Familiarity with social media and event marketing strategies
  
• Experience in managing budgets or vendor contracts
  
• Ability to travel and work flexible hours, including evenings and weekends as needed
