Job Description

As a Document Controller at Al Hofuf, Saudi Arabia, your role involves managing various administrative and logistical tasks, ensuring compliance with SOPs, and providing administrative support to the maintenance team for maintaining documents and records. Your key responsibilities include: - Providing support to office assistants and site supervisors as required. - Coordinating with the maintenance team to ensure timely ordering, receiving, and documentation of parts and materials. - Collaborating with departments like QHSE and Journey Management Coordinator to identify non-compliance issues and report suspicious activities. In terms of Safety and Emergency Response, your duties include: - Reporting emergency situations, such as vehicle accidents or breakdowns, immediately to the QHSE Manager and Journey Management Coordinator. - Ensuring compliance with safety protocols in coordination with the safety team and relevant stakeholders. For Document and Invoice Management, you will be responsible for: - Accurately entering purchase invoices and related data into the company's database system. - Verifying invoice details to ensure alignment with purchase orders and contracts. - Maintaining records of invoices, receipts, and other financial documents for audit and reconciliation purposes. In Leave and Schedule Management, your tasks involve: - Forecasting driver needs during holidays and special events to prevent disruptions in delivery schedules. - Informing line managers for annual leave approvals and coordinating with HR for sick leave processing. - Ensuring proper maintenance of records for driver leave requests. Regarding Vendor and Client Relations, your responsibilities include: - Communicating effectively with vendors to resolve discrepancies or issues related to invoices or deliveries. - Fostering positive communication and relationships with team members, management, vendors, and clients. - Ensuring completion of all work within assigned deadlines.,
