The Dispatch Executive will play a key role in ensuring smooth daily operations by coordinating trip schedules, communicating with chauffeurs, and managing administrative tasks. This role requires excellent communication, strong organizational skills, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

• Coordinate daily with the dispatch team to manage trip schedules, allocate assignments, and implement schedule changes efficiently.
• Maintain clear, timely, and professional communication with chauffeurs across Canada, providing updates and confirming trip details as needed.
• Address and resolve customer queries and emails, including handling requests submitted via the Slack ticketing system.
• Accurately maintain chauffeur records, including trip logs, availability status, performance notes, and payment tracking.
• Document all operational communications, updates, and schedule changes meticulously in shared company systems.
• Oversee and maintain live pay sheets using Google Sheets, performing regular reconciliation and generating reports for management.
• Utilize task management and CRM tools to streamline workflows, track assignments, and enhance operational efficiency.
• Proactively identify potential scheduling conflicts, operational gaps, or escalations, and implement effective solutions.
• Provide administrative and operational support to internal teams to ensure seamless day-to-day functioning.

Qualifications & Skills:

• Prior experience in dispatching, operations, ground transportation, or chauffeur services preferred.
• Strong communication and interpersonal skills.
• Excellent organizational and multitasking abilities.
• Proficiency with Google Workspace (Sheets, Docs, Drive), CRM systems, and task management tools.
• Ability to work independently, handle pressure, and adapt to rapidly changing schedules.
• Availability to work as per Canadian time zones.
