Job Description

Job Title: Back Office Executive – Purchase & Store Department

Department: Purchase & Stores
Location: Bhiwandi
Reports To: Purchase Manager / Store In-charge.

Job Purpose:

To provide administrative and operational support to the purchase and store departments by managing documentation, purchase orders, vendor coordination, stock records, and data entry to ensure smooth procurement and inventory processes.

Key Responsibilities:Purchase Department Support

  • Prepare and maintain Purchase Orders (POs), quotations, and comparative statements.
  • Coordinate with vendors/suppliers for order follow-ups, delivery schedules, and invoice clarifications.
  • Assist in vendor registration, database management, and price negotiations support.
  • Verify purchase requisitions for accuracy and ensure timely approval and processing.
  • Maintain records of all purchase-related documentation (POs, GRNs, invoices, quotations, etc.).
  • Track pending orders and update the purchase tracker regularly.
  • Assist in preparing monthly purchase reports and MIS.

Store Department Support

  • Maintain inward and outward stock entries in ERP or Excel.
  • Update inventory records daily and reconcile with physical stock.
  • Coordinate with the storekeeper for material receipts, issues, and stock adjustments.
  • Assist in conducting periodic stock audits and reporting discrepancies.
  • Prepare GRNs (Goods Receipt Notes) and ensure all supporting documents are filed systematically.
  • Maintain records of material transfers, returns, and consumables usage.

Documentation & Coordination

  • Maintain systematic filing (physical and digital) of all purchase and store-related documents.
  • Coordinate with the accounts department for invoice verification and payment follow-ups.
  • Support management in preparing purchase-related data analysis or cost reports.
  • Handle emails, calls, and internal communication related to purchase & store functions.

Key Skills & Competencies:

  • Proficiency in MS Office (Advance Excel, Word) .
  • Strong data entry accuracy and attention to detail.
  • Good communication and coordination skills.
  • Basic understanding of procurement, inventory, and store processes.
  • Ability to multitask and meet timelines.

Qualification & Experience:

  • Education: HSC /Graduate
  • Experience: 1–3 years of experience in back office.

Work Conditions:

  • Office-based role with coordination with factory/store team.
  • Regular working hours, may require extended support during audits or stock counts.

Job Type: Full-time

Pay: ₹13,000.00 - ₹15,000.00 per month
