Job Title: Customer Service Executive

Department: Operations / Customer Service
Location: Okhla, Phase-1, Delhi
Reports to: Customer Service Manager
Job Type: Full-time

Job Summary:

The Customer Service Executive will be responsible for ensuring efficient and professional handling of customer inquiries, orders, documentation, and coordination with internal departments and external stakeholders involved in international trade operations. This role is key in delivering excellent service to clients while supporting smooth import and export processes.

Key Responsibilities:

  • Customer Support:
  • Handle customer inquiries related to shipments, documentation, pricing, lead times, and order status.
  • Resolve issues and complaints professionally and promptly.
  • Maintain strong relationships with existing clients and communicate proactively.
  • Order Management:
  • Process sales orders, purchase orders, and shipment requests.
  • Coordinate with logistics, warehouse, and shipping agents to ensure timely deliveries.
  • Track and follow up on shipments and update customers accordingly.
  • Documentation Handling:
  • Prepare and verify shipping documents (Invoice, Packing List, Bill of Lading, Certificate of Origin, etc.).
  • Ensure compliance with international trade regulations and documentation standards.
  • Liaise with freight forwarders, customs brokers, and regulatory authorities as needed.
  • Coordination & Communication:
  • Liaise between internal departments (Sales, Logistics, Finance) and external partners (suppliers, carriers, agents).
  • Coordinate with overseas suppliers or buyers to meet delivery and quality expectations.
  • Record Keeping & Reporting:
  • Maintain accurate records of customer interactions and transactions.
  • Generate periodic reports on order status, delays, and customer feedback.
  • Assist in audits and internal process reviews.

Key Requirements:

  • Experience: Minimum 2 years in a customer service role, preferably in import/export or logistics.
  • Strong communication (verbal & written) and interpersonal skills.
  • Proficient in MS Office (Excel, Word, Outlook); knowledge of ERP systems is a plus.
  • Problem-solving attitude and attention to detail.
  • Ability to handle multiple tasks and work under pressure.
