Cultural & Event Coordinator

Key Responsibilities:

Event Planning & Coordination

• Plan, organize, and execute university-level cultural, academic, and social events (festivals, annual day, convocation, seminars, guest lectures, competitions, etc.).
• Develop annual cultural and events calendar in consultation with university leadership.
• Ensure proper scheduling, logistics, and budgeting for events.
• Coordinate with different departments, student councils, and external vendors for seamless event execution.

Student Engagement & Development

• Mentor and guide student clubs, cultural committees, and societies.
• Encourage student participation in inter-university and intra-university cultural events.
• Provide a platform for students to showcase talents in music, art, theatre, dance, and other cultural domains.

Operations & Logistics

• Arrange venues, permissions, equipment, stage setup, and technical support.
• Coordinate with procurement and finance for event-related expenses.
• Ensure compliance with university policies, safety norms, and statutory regulations during events.

Public Relations & Communication

• Liaise with media, sponsors, and partners for event promotions.
• Manage invitations, publicity, and communication materials (posters, banners, brochures, digital campaigns).
• Document events with photos, videos, and reports for university archives and marketing.

Budgeting & Reporting

• Prepare event budgets, track expenses, and ensure cost-effective execution.
• Submit event proposals, approvals, and post-event reports with feedback and recommendations.
