Role Overview

Construction Administrative Intern

Key Responsibilities:

1.  Client Coordination Support

·       Assist clients during colour and material selections and document their decisions.

·       Maintain selection sheets and help ensure timely approvals.

·       Provide regular updates to the onshore project team regarding client progress.

2.  Supplier & Trade Liaison Support

·       Help raise purchase orders and follow up with suppliers for timely material delivery.

·       Coordinate schedules with trades (e.g., electricians, plumbers, carpenters).

·       Track any issues or delays and escalate them to the Project Manager as required.

3.  Project Documentation & Tracking

·       Prepare and manage building approvals such as DA, CC, and CDC.

·       Liaise with certifiers, engineers, architects, and councils for approvals and documentation.

·       Maintain builder portal documentation (HBCF, QBCC, or other project-related approvals).

·       Assist in maintaining records of orders, deliveries, and client approvals in project managementtools.

·       Organize contracts, invoices, and selection sheets, ensuring all project documents are up to date.

4.  Reporting & Progress Updates

·       Track and report project progress using Zoho Projects or CRM tools.


·       Help prepare weekly status reports on client selections, supplier orders, and trade schedules.

·       Support the preparation of trade and supplier invoice summaries and other reports as requested.

·       Send weekly update reports to management on project milestones and pending actions.

5.  General Project Support

·       Coordinate material orders, schedules, and inspections as per project timelines.

·       Ensure all project-related data is accurately updated in internal systems.

·       Provide day-to-day administrative and operational support to the Australian project team.


Qualificationss Skills


·       Currently pursuing or recently graduated in Construction Management, Civil Engineering, BusinessAdministration, or related fields.

·       Strong interest in construction projects and project coordination.

·       Good English communication skills (written and verbal).

·       Basic understanding of construction materials and processes is a plus.

·       Comfortable using MS Office, Google Workspace, and project management tools (Zoho preferred).

·       Strong organizational skills, attention to detail, and eagerness to learn.
