Job Description: Back Office Executive
Location: KolkataExperience: 2–5 YearsIndustry: System Integration / IT Solutions / Cyber Security / Hardware & SoftwareRole OverviewWe are looking for a Back Office Executive with experience in Government tendering, GeMportal operations, documentation, and coordination. The ideal candidate should have hands-on experience handling tender uploads, bid submissions, vendor registrations, andcommunication with OEMs and internal teams.Key Responsibilities
  • Tender & Bid Management
  • Search, identify, and track relevant tenders from GeM, CPP, e-procurement portals,
and state government sites.
  • Study tender documents, eligibility criteria, and technical requirements.
  • Ensure timely submission of bids (technical & financial).
  • Prepare tender documents, compliance sheets, and required attachments.
  • GeM Portal Operations
  • Operate and manage GeM portal for bid participation, product listing, OEM mapping,
and order processing.
  • Upload/update product catalogues, pricing, and documentation as required.
  • Handle bid queries, RTQs, and clarification responses on GeM.
  • Documentation & Coordination
  • Prepare and maintain all tender-related documents:
  • EMD, BG, vendor registrations
  • Authorization letters
  • Technical specifications
  • Price bids
  • Coordinate with internal departments (sales, pre-sales, finance, legal) for required
inputs.
  • Liaise with OEMs for product specifications, authorization, and pricing.
  • Compliance & Record Keeping
  • Ensure all submissions meet tender compliance requirements.
  • Maintain a proper record of submitted bids, awarded tenders, and upcoming
opportunities.
  • Communication & Vendor Management
  • Interact with government departments, procurement officials, and vendors.
  • Respond to tender-related communications and follow up on ongoing bids.
  • Support in vendor registrations and empanelment processes.

Required Skills & Qualifications

  • Graduate in any field (MBA or technical background preferred).
  • 1–5 years of experience in Tendering / GeM Portal / E-procurement portals.
  • Strong knowledge of GeM portal bidding, product listing, and order management.
  • Good understanding of tender documents, RFPs, RFQs, and compliance structures.
  • Proficiency in MS Excel, Word, PDF preparation, and documentation.
  • Attention to detail, time management, and ability to work under deadlines.
  • Excellent communication and coordination skills.
