Job Description

1. Export & Import Logistics Operations

  • Manage complete logistics activities for pharmaceutical formulations through Air & Sea modes.
  • Liaise with freight forwarders, shipping lines, airlines, and CHA to ensure timely booking and smooth movement of consignments.
  • Plan shipments based on production schedules,market demand, and customer commitments.

2. Customs Documentation & Compliance

  • Prepare, review, and submit accurate shipping and customs documentation (Invoice, Packing List, SDF, ARE-1, COO, BL/AWB, etc.).
  • Coordinate with Custom House Agents (CHA) for timely clearances.
  • Ensure strict adherence to DGFT, Customs, CDSCO, ADC and other regulatory guidelines applicable to pharma exports/imports.

3. Regulatory & Pharma-Specific Requirements

  • Handle ADC (Assistant Drug Controller) clearance and ensure compliance with regulatory norms for formulations and APIs.
  • Maintain awareness of pharma-specific international trade regulations (temperature-controlled shipments, dangerous goods regulations, GMP compliance).
  • Ensure product dispatches meet quality,regulatory, and documentation standards for global customers.

4. Shipment Execution & Tracking

  • Schedule dispatches in line with customer POs, market deadlines, and tender requirements.
  • Track shipments end-to-end and provide real-time updates to stakeholders.
  • Maintain records of all shipments for audit and compliance purposes.
  • 5. Freight & Cost Optimization

  • Ensure contracts with forwarders/shipping lines are aligned with company objectives.
  • Monitor freight invoices and resolve discrepancies with vendors.

6. Export Incentives & EXIM Functions

Handle advance licenses, EPCG, Duty Drawback, MEIS/RODTEP incentives, and related export benefits.

  • Coordinate with DGFT and internal finance team for filing and claims.

7. Internal Coordination & Reporting

  • Work closely with Production, Quality Assurance, Regulatory Affairs, Commercial, and Finance departments to ensure seamless dispatch.
  • Prepare and circulate regular MIS reports on shipments, freight, customs clearance, and export incentives.
  • Ensure department SOPs are followed and updated periodically

Key Competency Required:

  • Attention to detail and accuracy in documentation.
  • Ability to coordinate across multiple teams and external agencies.
  • Problem-solving mindset with ownership of responsibilities.
  • Strong ethical values and compliance-oriented attitude.

Knowledge Required

  • Experience Required- For Asst. Manager Role- 6-8 years, For Executive Role-2-3 Years of hands-on experience in Export Logistics, Customs Clearance, Advance Licensing, Export Incentives, and EXIM Documentation.
  • Proficiency in MS Office (Excel, Word, PowerPoint), emails, and online portals
