Job Overview

Tender/Bid submissions, costing, client coordination, and sales

Key Responsibilities

1. Tender & Proposal Management

  • Identify and evaluate tender opportunities from government, semi-government, and private clients.
  • Prepare complete technical and commercial proposals with accurate manpower and cost calculations.
  • Ensure tender submissions are compliant, timely, and competitive.
  • Manage tender documents, pre-bid queries, compliance checklists, and submission requirements.

2. Client Relationship & Sales Development

  • Build and maintain strong relationships with clients across healthcare, education, corporate, and institutional sectors.
  • Visit clients, consultants, and sites as required for meetings, presentations, and negotiations.
  • Act as the primary contact for pre-bid clarifications, presentations, and proposal discussions.
  • Support sales initiatives and help convert inquiries into awarded projects.

3. Costing & Commercials

  • Prepare detailed costing sheets including wages, statutory compliances (PF, ESIC, Bonus, Gratuity), consumables, uniforms, and overheads.
  • Recommend pricing strategies based on market competition and operational feasibility.
  • Review tender terms, highlight risks, and ensure cost viability.

4. Internal Coordination

  • Coordinate with HR, Operations, Finance, Purchase, and Legal teams for data required in bids.
  • Validate operational feasibility before committing to SLAs, manpower, or deliverables.
  • Facilitate smooth handover of awarded contracts to operations for implementation.

5. Market Research & Growth Support

  • Track new orders, tenders, and RFQs through portals and client networks.
  • Monitor competitor pricing and industry trends.
  • Support Business Development team in identifying and onboarding new clients.

Required Skill & Competencies

  • Strong knowledge of Facility Management Services (housekeeping, technical, security, manpower outsourcing).
  • Excellent communication, presentation, and negotiation skills.
  • Proficiency in MS Excel, costing, and financial analysis.
  • Strong networking and client management skills.
  • Knowledge of statutory compliances and labour laws.
  • Ability to manage RFQs, prepare competitive bids, and attend pre-bid meetings.
  • Ability to travel as required for meetings and site visits.
  • Proven record of winning tenders or generating business.

Qualifications & Experience

  • Graduate in Business/Commerce/Management/Engineering (MBA preferred).
  • 4 to 7 years of experience in Tendering, Bid Management, or Business Development in Facility Management or Manpower Outsourcing industry.
  • Should have aexisting network of clients (hospitals, schools, malls, commercial offices).
  • Experience in proposal writing, tender submission, and client coordination.

Key Performance Indicators (KPIs)

  • Number of new clients contacted and visited.
  • Tender win ratio and revenue contribution.
  • Accuracy and compliance of submitted bids.
  • Client satisfaction and long-term relationship strength.
  • On-timetender submissions with zero rejections.
