Role Overview

  • This role is ideal for someone who wants to build a long-term career in international education, student counselling, or admissions operations. As an Application Officer, you will be responsible for the operational and documentation side of the application process. You will ensure that every student’s application is accurate, complete, and submitted within university deadlines, while providing responsive support and clear communication to students and parents. You will work closely with senior counsellors and will get hands-on exposure to applications for undergraduate and postgraduate programs across multiple countries.

Key Responsibilities

  • Manage end-to-end application filing for students across platforms such as UCAS, Common App, university-direct portals, etc.
  • Accurately fill application forms based on information provided by students and counsellors, ensuring there are no factual or formatting errors.
  • Upload, name, and organise all supporting documents including academic transcripts, mark sheets, degree certificates, passports, English test scores (IELTS/TOEFL/Duolingo/PTE), SOPs, essays, LORs, resumes, and financial documents.
  • Maintain individual application trackers/checklists for each student, monitoring stages like application submitted, documents pending, conditional offers, unconditional offers, fee payment, CAS/I 20, and visa filing readiness.
  • Follow up proactively with students (and parents where needed) for pending documents, clarifications, payments, or signatures, ensuring adherence to university and internal deadlines.
  • Coordinate with senior counsellors for course/university finalisation, application strategy, and responses to university queries.
  • Enter and regularly update all student and application data in internal CRMs, spreadsheets, and tracking systems for accurate reporting and follow-up.
  • Review SOPs, LORs, and resumes for basic formatting, consistency, and alignment with university requirements (not content drafting, but quality checks).
  • Monitor university portals and emails for application status updates, missing document requests, or offer conditions, and communicate these clearly to students and counsellors.
  • Handle professional communication with students, parents, and occasionally university representatives via email, phone calls, and WhatsApp in a polite, structured, and timely manner.
  • Support with basic visa-related documentation organisation (checklists, file preparation) as guided by the senior team.
  • Contribute to process improvement by flagging recurring issues, suggesting better trackers, templates, or checklists.

What We’re Looking For

  • 1–3 years of experience in study abroad consulting, overseas education, university admissions, student services, or administrative/operations roles (freshers with strong skills and internship experience may also be considered).
  • Strong attention to detail with a habit of double-checking entries, dates, and documents.
  • Comfort working with structured processes, checklists, and deadlines; ability to handle multiple student files simultaneously without losing track.
  • Working knowledge of MS Office / Google Workspace (Word/Docs, Excel/Sheets, basic email etiquette). Familiarity with UCAS, Common App, or aggregator portals is a plus; training will be provided.
  • Fluent spoken and written English, with clear email-writing skills and professional phone manners.
  • Service-oriented attitude, patience in dealing with students and parents, and willingness to go the extra mile during peak application periods.
  • Ability to work from the office full-time at C.G. Road, Ahmedabad.
  • Graduate in any discipline; preference for candidates with background/interest in education, counselling, or administration.
