Job Title: Receptionist cum Admin ExecutiveLocation: [Your Ayurveda Hospital Name], [Location – e.g., outskirts of Mumbai] Department: Front Office / Administration Reports To: Hospital Manager / Centre Head Job SummaryWe are looking for a courteous, professional, and well-organized Receptionist cum Admin Executive to be the first point of contact for our Ayurveda Hospital. The role demands a perfect blend of hospitality, communication, and administrative skills to ensure a warm welcome to our guests and smooth day-to-day operations. Guest satisfaction, discipline, and efficiency will be the prime focus of this position. Key ResponsibilitiesFront Office & Guest RelationsWelcome and greet all patients, guests, and visitors with warmth and positivity. Ensure every guest feels cared for and comfortable from arrival to departure. Handle check-in/check-out formalities for patients and retreat guests. Maintain records of bookings, inquiries, and patient details accurately. Coordinate with therapy, housekeeping, and kitchen departments for smooth guest experience. Assist guests with information about treatments, schedules, doctors, and facilities. Handle feedback and complaints with empathy, ensuring quick and satisfactory resolution. Ensure front desk area is always neat, organized, and aesthetically pleasing. Administrative ResponsibilitiesManage daily attendance records, staff schedules, and office supplies. Handle basic HR and admin documentation (joining forms, leave records, etc.). Maintain records of hospital licenses, insurance, and vendor invoices. Coordinate with vendors, service providers, and suppliers as per administrative needs. Support the management in organizing internal meetings, reports, and event coordination. Assist in maintaining compliance files for Ayurveda hospital operations. Keep track of daily cash flow, billing reports, and petty cash under management supervision. Communication & CoordinationAnswer phone calls, WhatsApp, and emails promptly and professionally. Forward patient or guest inquiries to the appropriate departments. Maintain internal communication between therapists, doctors, kitchen, and housekeeping teams. Schedule doctor appointments and therapy sessions. Support digital communication tasks like sending appointment reminders or confirmations. Desired Skills and QualitiesPleasant personality, good communication, and calm attitude. Strong sense of hospitality and guest care. Organized and detail-oriented in administrative work. Ability to multitask and prioritize tasks effectively. Familiar with MS Office, Excel, and basic computer operations. Empathetic approach and alignment with holistic wellness values. Educational Qualification & ExperienceGraduate in any discipline (Hospitality, Management, or Administration preferred). Minimum 4–7 years experience in front office or admin roles (experience in wellness centre, Ayurveda hospital, or spa preferred).
