Job Description

This position reports directly to the CEO and requires to work independently. Often considered as the right hand person, the employee will filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on the high-level leadership and strategy functions.

Roles And Responsibilities

  • Problem solve, meet precise deadlines and work in a team-oriented environment
  • Liaise with business customers, among other company stakeholders
  • Manage the executive's calendar by scheduling meetings, appointments, and events according to varying time zones
  • Screen and prioritize phone calls, emails, and other communications on behalf of the executive
  • Plan the executive's travel arrangements, including flight bookings, accommodations, transportation, and creating itineraries for business trips
  • Create and edit documents, reports, and presentations to support the executive in their work
  • Savvy individual with travel experience and valid passport is required
  • Organize key documents, ensure secure filing and record-keeping, report expenses, and manage office supplies efficiently
  • Act as the initial point of contact for the executive and respond to internal and external stakeholders promptly and professionally

Soft Skills

  • Minimum 3 years of experience in executive administration, project coordination or relative field
  • Strong communication, analytical, attention to detail, critical thinking, presentation and grammatical skills are a must
  • Bachelor's degree in business, communications, organizational leadership, or relative field is study is a plus
  • Proficient with cloud-based CRM and accounting programs is a plus
  • Microsoft Office Suite (Outlook, Word, Excel, Power Point) and Google Workspace
  • Fluency in English is a must

Qualifications

Bachelors of Enginerring, Commerce or Art is a mustAdditional Information
  • Work Location: Bangalore
  • Working Hours: 12:00 AM to 09:00 PM, evenings and weekends required as needed, work hours vary depending on workload and time zone factors regularly
  • Designation: Administrative Assistant
  • Compensation: Based on experience
  • Contract: Permanent with 3 months of probationary period
