Job Summary

The Admin Executive will be responsible for ensuring smooth day-to-day operations of Strevens head office and providing administrative support to project teams across locations. The role involves managing office logistics, vendor coordination, documentation, and assisting with HR and procurement functions as required. The ideal candidate must be proactive, organized, and flexible to travel to Strevens worksites (within India and Middle East) on short-term assignments when operational support is needed.

Key Responsibilities

  • Office Administration:

    • Oversee general office operations, including housekeeping, stationery, courier, and pantry management.
    • Maintain office infrastructure, coordinate with vendors for maintenance and repairs.
    • Manage asset records, attendance registers, and administrative documentation.
  • Procurement & Vendor Coordination:

    • Source and evaluate suppliers for office and site-related materials.
    • Process purchase requisitions and coordinate vendor payments with accounts.
    • Maintain records of invoices, delivery challans, and vendor contracts.
  • Travel & Logistics:

    • Arrange travel, accommodation, and transport for staff and visitors.
    • Coordinate logistics for training sessions, meetings, and corporate events.
    • Be available to travel to project or work sites for short durations to support administrative activities.
  • Compliance & Record Management:

    • Ensure documentation related to statutory compliance, safety, and HR is updated.
    • Maintain confidentiality of company records and employee data.
  • Support to Projects and HR:

    • Assist HR in onboarding formalities, attendance, and welfare activities.
    • Provide administrative support to project teams during mobilization and demobilization phases.
    • Help coordinate communications between the head office and site offices.

Preferred candidate profile

  • Bachelors degree in Administration, Commerce, or related field.
  • 3–8 years of experience in administrative or office management roles, preferably in engineering, project-based, or manufacturing organizations.
  • Willingness to travel to sites within India as per project needs.

Work Conditions

  • Base Location:

    Vashi, Navi Mumbai.
  • Travel:

    Short-term travel to company sites across India as and when required.
  • Work Schedule:

    Monday–Saturday (as per company policy).
