Description
We are looking for a versatile and proactive Admin/Accounts Executive to support our Chartered Accountant (CA) in handling accounting tasks while also managing day-to-day office operations and acting as a liaison between the CA and other departments. The ideal candidate will be responsible for ensuring smooth communication between the CA and internal teams, assisting with financial record-keeping, and performing administrative duties to ensure the efficient functioning of the office.
Key Responsibilities:
Act as the primary point of contact between the CA and the office team for all accounting and financial matters.
Facilitate the collection of documents, receipts, and other financial data from different departments, ensuring timely submission to the CA.
Ensure effective communication regarding deadlines, requirements, and updates between the CA and relevant office personnel.
Manage office schedules, appointments, and meetings for the CA and other team members.
Handle general office administrative tasks, including maintaining office supplies, managing correspondence, and assisting with filing and document management.
Assist the CA with the preparation of monthly and quarterly financial statements, ensuring accurate and timely submission.
Help with the preparation and organization of financial documents for audits and tax filings.
Process accounts payable and receivable under the guidance of the CA and maintain accurate financial records.
Manage petty cash and reconcile transactions, providing regular updates to the CA.
Maintain and update financial spreadsheets, ledgers, and other accounting systems as directed by the CA.
The Tender/Admin Executive will be responsible for managing all activities related to tendering—such as searching, preparing, and submitting tenders—along with handling general administrative operations to ensure smooth day-to-day functioning of the office. The role requires excellent coordination, documentation, and organizational skills.
Key Responsibilities:
Tender Management:
Identify and track relevant tenders from various e-procurement portals (GeM, CPPP, State Govt. portals, etc.).
Download, review, and understand tender requirements (technical & commercial).
Coordinate with concerned departments (Sales, Accounts, Technical) for preparing documents.
Prepare, compile, and submit tender documents (online/offline) within deadlines.
Prepare EMD, BG, and other supporting documents required for tender submission.
Maintain a record of all tenders submitted, their status, and follow-up on results.
Assist in vendor registration, empanelment, and renewal processes.
Administrative Duties:
Manage day-to-day office operations and ensure smooth administrative support.
Handle incoming and outgoing correspondence, courier, and documentation.
Maintain filing systems (physical & digital) for easy retrieval of records.
Manage office supplies, stationery, and coordinate with vendors for purchases and services.
Support HR activities such as attendance tracking, leave management, and employee coordination.
Handle travel arrangements, logistics, and meeting scheduling for staff and management.
Skills & Competencies:
Good knowledge of government and institutional tendering processes.
Familiarity with e-tendering platforms (GeM, CPPP, State Portals).
Strong proficiency in MS Office (Word, Excel, PowerPoint) and PDF tools.
Excellent written and verbal communication skills.
Strong attention to detail, organization, and time management.
Ability to multitask and work under tight deadlines.
