This position is responsible for
Accounting, Finance, Office Administration, Sales Administration, and General Affairs
for the India business. The role requires
direct coordination with the Japan headquarters
, external consultants, and local vendors, and covers end-to-end support for finance operations, imports, logistics, and office administration. 1. Accounting & Finance
- Coordinate with external accounting and tax consultants for the preparation of statutory financial statements

- Handle
major monthly accounting operations
, including review and consolidation of monthly results - Prepare the
India business unit portion for departmental consolidated accounts
, including: - Semi-annual consolidation support
- Responding to queries and clarification requests from Japan headquarters
- Prepare and submit
monthly and periodic financial reports
to the parent company in Japan - Manage statutory compliance, including:
- Income Tax, GST, and TDS coordination with accounting firms
- Review of tax calculations and
execution of tax payment procedures
- Review and verify invoices, follow up on pending invoices, and ensure accurate payment processing
- Perform account reconciliations and verification of accounting data
- Support internal and external audits, including coordination with auditors and consultants
- Act as the
main point of contact with Japan headquarters
for accounting and finance-related matters
2. Sales Administration / Operations Support
- Handle
sales administration tasks
, including procurement and order processing - Manage procurement of products:
- Domestic procurement within India
- Import procurement from overseas factories (including China)
- Coordinate
customs clearance procedures
, import documentation, and logistics - Manage inventory flow:
- Goods received at Indian warehouses
- Delivery arrangements to customers
- Coordinate installation and construction arrangements when required:
- Communication with customers and external contractors
- Scheduling and follow-up of installation or construction work
- Support billing processes and post-delivery invoice follow-ups
3. Office Administration & General Affairs
- Manage day-to-day office administration, including:
- Vendor coordination
- Office supplies and service contracts
- Courier and logistics arrangements
Support
Japanese expatriates (2 persons)
, including: - Visa and FRRO renewals
- Lease contract renewals for housing
- Rental car contract renewals
- General daily life support as required
- Support recruitment-related activities and coordination
- Handle business trip arrangements and coordination for visitors from Japan
- Maintain accurate records, contracts, and administrative documentation
- Manage internal databases (contacts, inventory, administrative records)
- Provide basic general IT support and coordination with external IT vendors as needed
4. Communication & Coordination
- Serve as a bridge between:
- India operations
- Japan headquarters
- External accounting firms, tax consultants, logistics partners, and vendors
Respond directly to inquiries from the parent company in Japan regarding finance, operations, and administration matters
Experience & Background
- Minimum 10 years of relevant experience in Accounting, Finance, Administration, or a combination of these functions
- Hands-on experience in monthly accounting operations, including journal review, ledger management, and monthly closing support
- Experience working with external accounting firms and tax consultants for GST, Income Tax, and TDS compliance
- Experience in invoice verification, payment processing, and follow-up
- Ability to communicate and work in English for daily business operations, including emails, reports, and online meetings with overseas stakeholders
- Accounting & Finance Knowledge
- Solid understanding of financial statements (P/L and B/S) and the ability to review and explain figures
- (Full preparation experience is not mandatory, but review and control capability is required)
- Basic knowledge of Indian taxation and statutory compliance, including GST, Income Tax, and TDS
- Experience in monthly financial reporting

- Experience in preparing or supporting financial statements
- Exposure to departmental or consolidated reporting, including coordination with overseas headquarters
- Experience responding to financial inquiries from parent companies or global HQs
Japan-Related Experience
- Experience working with Japanese companies or Japanese headquarters
- Prior experience supporting Japanese expatriates
- Japanese language skills (business or conversational level)
- Sales Administration / Trade Operations
- Experience in import operations and customs clearance procedures
- Experience with overseas procurement (eg, sourcing from China)
- Knowledge of inventory control, warehousing, delivery coordination, and billing follow-up
- Experience in sales administration, order processing, and coordination with customers and vendors
- General Affairs / HR Support
- Experience handling Visa and FRRO renewals
- Experience supporting expatriates with housing, vehicle contracts, and daily administrative needs
- Exposure to recruitment coordination or onboarding support
