Job Description

The Visa Manager will be responsible for overseeing all aspects of the visa application process for international travel, ensuring compliance with destination country requirements, maintaining strong relationships with embassies and consulates, and managing a team to deliver seamless visa facilitation services to clients.

 

Roles and Responsibilities:

Visa Processing & Documentation

  • Manage end-to-end visa application process for all international destinations.
  • Ensure accurate preparation, checking, and submission of documents as per consulate/embassy guidelines.
  • Monitor changes in visa policies and update procedures accordingly.

Client Handling & Advisory

  • Guide clients on visa requirements based on destination, purpose, and nationality.
  • Assist customers in document collection, form filling, and scheduling appointments.
  • Handle escalations or complicated visa cases (e.g., rejected or delayed applications).

Embassy & Consulate Liaison

  • Build and maintain relationships with embassies, consulates, and visa service centers.
  • Schedule group or individual appointments, and track application status directly with authorities.

Team Management

  • Lead and train a team of visa executives.
  • Set targets, assign duties, and review performance to ensure high productivity and accuracy.

Compliance & Reporting

  • Ensure compliance with data protection and privacy laws during document handling.
  • Maintain accurate records and databases for audits and reports.
  • Generate periodic reports on visa success rate, turnaround time, and customer satisfaction.

Business Development Support

  • Coordinate with the sales and operations teams to provide visa feasibility inputs during package planning.
  • Collaborate with corporate clients to offer tailored visa solutions.

 

Experience Required

Education:

  • Bachelor’s degree in Travel & Tourism, Business Administration, or related field.

Experience:

  • Minimum 5-8 years in visa processing with at least 2-3 years in a managerial role.
  • Strong knowledge of visa requirements for popular international destinations (e.g., Schengen, UK, USA, Australia, Canada, Middle East, Southeast Asia etc.)
  • Experience working with embassies, VFS, BLS, or similar visa facilitation centers.

Skills & Competencies

  • Excellent understanding of international visa regulations and documentation.
  • Strong leadership and people management skills.
  • Attention to detail with high organizational and time management abilities.
  • Proficiency in MS Office and visa tracking systems.
  • Exceptional communication and customer service skills.
  • Ability to handle pressure and deliver results in tight timelines.
