Job Summary:

The Travel Desk Executive will be responsible for managing all travel arrangements within the organization, including flight bookings, hotel reservations, visa processing, transport coordination, and travel expense tracking. The ideal candidate must be highly organized, detail-oriented, and capable of handling multiple travel requests efficiently while ensuring cost-effectiveness and compliance with company policies.

Key Responsibilities:

  • Coordinate and book domestic and international travel (flights, hotels, transport).
  • Handle visa and passport requirements in coordination with travel agents.
  • Negotiate with travel vendors for best corporate rates and services.
  • Maintain travel records, invoices, and reconciliation of travel expenses.
  • Assist employees with travel-related queries and resolve issues.
  • Maintain a travel calendar and ensure smooth travel plans for executives and teams.
  • Track and report travel budgets and identify cost-saving opportunities.
  • Ensure all travel complies with the company&aposs travel policy.
  • Liaise with employees, vendors, and external agencies effectively.
  • Provide 24/7 support during emergencies or last-minute changes in travel plans.

  • Familiarity with travel management systems, GDS tools (e.g., Amadeus, Galileo)
  • Proficiency in MS Excel and travel expense tools

Qualifications:

  • Bachelors degree in Hospitality, Administration, or a related field
  • Proven experience in a corporate travel desk or administrative travel role
  • Knowledge of travel booking platforms and visa processes
  • Experience working in fast-paced, high-volume travel environments preferred
