Job Description

Job Title: Tender Executive Overview The Tender Executive is responsible for managing the entire tendering process — from identifying potential business opportunities and preparing tender documents to coordinating submissions and ensuring compliance with client and company requirements. This role requires strong attention to detail, organizational skills, and the ability to work collaboratively across departments to deliver high-quality and timely tender proposals. Key Responsibilities Tender Management Identify and monitor relevant tender opportunities through government portals, procurement websites, and other sources. Review tender documents, contracts, and technical specifications to understand requirements and prepare compliant submissions. Coordinate with internal teams (sales, finance, technical, legal, operations) to gather necessary inputs and documentation. Prepare and compile tender documentation, including technical proposals, pricing schedules, company profiles, and compliance statements. Ensure timely submission of tenders in line with client requirements and deadlines. Documentation & Compliance Maintain up-to-date records of all tenders, submissions, clarifications, and post-tender communications. Ensure all submitted tenders meet statutory, legal, and company compliance standards. Manage prequalification and registration processes with clients and government agencies. Post-Tender Activities Follow up on submitted tenders, participate in clarification meetings, and support negotiations as required. Assist in preparing tender summaries, comparison sheets, and management reports for decision-making. Support the handover process to the execution or project team upon tender award. Market & Relationship Management Research market trends, competitor activities, and pricing strategies to enhance bid competitiveness. Build and maintain relationships with clients, suppliers, and partners to support future opportunities. Qualifications Education & Experience Bachelor’s degree in Business Administration, Engineering, Commerce, or a related field. 2–5 years of experience in tendering, bidding, or contract administration (industry experience preferred: [e.g., construction, engineering, IT, healthcare, etc.]). Knowledge of government and private-sector procurement processes. Skills & Competencies Excellent written and verbal communication skills. Strong organizational and time-management abilities. Proficiency in MS Office (Excel, Word, PowerPoint) and tender management software/portals. Attention to detail and ability to work under tight deadlines. Analytical mindset with strong problem-solving skills. Performance Metrics Timeliness and accuracy of tender submissions Win rate of submitted tenders Compliance and documentation quality Efficiency in coordinating with internal stakeholders
