Role Description


1. Tender Identification & Analysis


• Monitor government portals (e.g., GEM, CPPP, E-Procurement sites) for relevant tenders.

Analyze tender eligibility criteria, scope, and documentation requirements.

Prepare a summary report for management approval.


2. Tender Documentation Preparation


Compile all technical, financial, and administrative documents as per tender requirements.

Draft and format tender documents (Forms, Annexures, Affidavits, BOQs, etc.).

Ensure all certificates (GST, PAN, ISO, MSME, etc.) are valid and up to date.


3. Coordination & Communication


Coordinate with various departments (Finance, Technical, Legal, HR) for inputs and approvals.

Liaise with clients or tender authorities for clarifications and corrigenda.


4. Tender Submission & Follow-Up


Manage both online and offline tender submissions before deadlines.

Upload documents on e-portals and handle digital signatures (DSC).

Track bid status, results, and maintain a record of submitted tenders.


5. Post-Tender Activities


Prepare comparison sheets and assist in negotiation documentation.

Maintain tender database and filing system (soft & hard copies).

Support in documentation for work orders, agreements, and performance guarantees.


Qualifications


  • Proficiency in Export Documentation and a strong understanding of the export process
  • Experience in Documentation and Document Management
  • Excellent Communication skills, both written and verbal
  • Attention to detail and commitment to maintaining accurate records
  • Familiarity with tendering processes and guidelines is an advantage
  • Ability to work independently, manage multiple deadlines, and adapt to a fast-paced environment
  • Bachelor's degree in Business Administration, or a related field is preferred
