Job Description

The Administrative Executive will play a key role in ensuring smooth day-to-day administrative operations across the organization. This role is responsible for office management, coordination of travel and logistics, inventory handling, invoice handling and support for facility maintenance. The individual will serve as a vital link between various departments, ensuring administrative processes are efficiently managed and executed with a high level of accuracy and professionalism.

Responsibilities

  • Maintain facility cleanliness and oversee overall office operations including facilities, housekeeping, maintenance, courier/dispatch, and front-desk support to ensure a smooth and efficient work environment.
  • Provide administrative support across IT, HR, and Finance functions, including onboarding logistics (ID cards, IT setup, welcome kits), asset management, and audit assistance.
  • Coordinate domestic and international travel, hotel bookings, transportation, visa processing, visitor management, and leadership team visits.
  • Plan and execute office events, meetings, and employee engagement activities while managing internal and cross-departmental coordination.
  • Liaise with vendors and customers for contracts, invoices, escalations, and service agreements, ensuring effective relationship management.
  • Manage vendor payments, employee reimbursements, gratuity disbursements, and ensure compliance with statutory tax requirements (TDS, GST, Advance Tax).
  • Support banking operations including Bank guarantees, documentation, reconciliations, and management of corporate and meal cards.
  • Maintain accurate records and compliance documentation, prepare monthly administrative reports, and manage business insurance (property, liability, indemnity, workman s compensation) while ensuring adherence to health, safety, and security standards.
Qualifications
  • Bachelor s degree in business administration, Management, or a related field
  • 3 5 years of experience in administration and finance support.
  • Strong working knowledge of Indian taxation (TDS, GST, Advance Tax).
  • Proven experience with vendor/customer processes and payment cycles.
  • Proficiency in MS Office (Excel, Word, Outlook) and ERP/finance systems.
  • Familiarity with basic office operations and administrative protocols.
