Role & responsibilities

Verification & Fraud Prevention

• Cross-check every spare requisition for authenticity and necessity.
• Verify if the spare is genuinely required by checking:
• Which vehicle/machine it is for.
• Cause of failure (misuse, wear & tear, or genuine defect).
• Past history of same spare for that machine (repetitive failures flagged).
• Block loopholes in the process by ensuring no false requisitions or unauthorized issue of spares.
• Record reason for issue (breakdown, preventive replacement, accident, etc.) for future reference.

Preventive Maintenance & Future Tracking

• Mark problems that led to spare replacement and classify them as:
• Normal wear & tear
• Operator misuse / negligence
• Improper earlier repair
• Design / recurring issue
• Feed this data into a preventive maintenance log so recurring breakdowns can be avoided.
• Work with maintenance engineers to prepare preventive maintenance recommendations.

Old Spare Retrieval & Scrap Management

• Ensure every new spare issued is accompanied by retrieval of the old/damaged spare.
• Verify that returned spares are categorized correctly:
• Reusable / reconditionable
• Scrap (metal, rubber, plastic, etc.)
• Hazardous / non-recyclable waste
• Coordinate with store for proper stacking of scraps and ensure they are disposed/recycled responsibly without leaving carbon footprints.

Oversight & Reporting

• Conduct surprise checks on store issue logs.
• Maintain a spares verification register with remarks on authenticity and reason of replacement.
• Submit shift-wise fraud control and verification report to Site Manager.
• Highlight unusual consumption patterns or suspicious requisitions immediately.

• Technical expertise – understands machines well enough to judge genuine needs.
• Eco-conscious mindset – ensures scrap is handled responsibly.

Preferred candidate profile

• Minimum Graduate / Diploma in Mechanical / Automobile / Mining Engineering.
• 5+ years’ experience in mining/heavy machinery maintenance oversight or audit.
• Strong technical knowledge of vehicle/machinery spares and preventive maintenance cycles.
• Prior exposure to fraud detection / control processes in inventory/maintenance.
• Ability to trace spare part usage to specific machines and validate necessity.
• Experience with scrap handling and recycling protocols (preferred).
• Skilled in data analysis & reporting (Excel, ERP entries, digital records).
• High level of integrity, accountability, and smart problem-solving.
