Job Description

Role Overview

We are looking for a dynamic and detail-oriented PMO Operations Executive with 6-10 years of experience in talent management and business unit operations. The ideal candidate will play a pivotal role in optimizing resource utilization, driving operational efficiency, and supporting key business processes. This position offers high visibility and opportunities to collaborate with stakeholders across the organization.

Key Responsibilities:

  • Resource Management and Utilization Optimization:

  • Monitor resource utilization, minimize unbilled consultants, and manage the bench effectively
  • Track upcoming allocation end dates and follow up on extensions, releases, or reallocations
  • Collaborate with project teams to ensure timely project extensions, creation of new projects, and smooth transitions for consultants.
  • Operational Excellence:

  • Lead and facilitate meetings with large audiences, ensuring alignment and effective communication.
  • Prepare, analyze, and present detailed and actionable reports to support decision-making.
  • Validate and track resource demands, capturing critical client-specific details such as reference numbers and other attributes.
  • Ensure all consultant releases are accurately reflected in systems like Fusion and Legacy.
  • Stakeholder Coordination:

  • Follow up with ASDM/VDH for project approvals and ensure timely acceptance or rejection of nominated consultants.
  • Coordinate with stakeholders to ensure contractor termination notices are issued promptly.
  • Act as a liaison between internal teams and clients for operational tasks such as visa-related client letters, event records, and appreciations.
  • Interview and Demand Management:

  • Manage interview panel logistics and scheduling for both internal and client interviews.
  • Support the demand validation process by ensuring completeness and accuracy of data.
  • Client Onboarding and Offboarding:

  • Collect and maintain necessary information for onboarding new clients and consultants.
  • Maintain accurate logs and ensure timely follow-ups to complete onboarding processes.
  • Support offboarding processes, ensuring compliance with organizational standards.
