Job Description
Role Responsibilities:
Qualification: • Graduate degree in any discipline
Experience: • 6 – 13 years of experience in a similar role
• Basic knowledge of MS Office Suite
• Organizational and Administrative skills
• English language skills (verbal/written)
• Has Detail Orientation
• Excellent Interpersonal skills
• Has Sound Project Management Skills
• Strong Problem-Solving Skills
• Has an ability to think on feet and quickly respond to changes
• Efficiently maintain individual calendar for the executive and judiciously manage his/her time • Provide everyday office support to the executive (administrative, handle mails, calls, etc) • Arrange internal and external high level management meetings taking into account the following: availability, room bookings, agenda, equipment, refreshments, relevant documentation etc • Attend meetings to take notes and share the minutes of the meeting with the participants • Coordinate and arrange Board Meetings with Stakeholders and external Board Members • Attend telephone calls and take appropriate action to ensure a professional and timely response is given to the caller Calendar management % Optimisation in Internal event costs Timely finalisation of monthly expenses
• Independently manage electronic calendar and arrangements of travel (Flights/hotels/transportation, etc.) and subsequently file travel expense reports % Optimisation in Travel costs Customer satisfaction on Travel management
Documentation
• Maintain, organize, archive and retrieve files and records • Prepare and edit correspondence, reports, and presentations as required • Maintain data confidence and security by keeping information confidential
Others
• Undertake additional projects as and when necessary like support in organizing company events , research for strategic initiatives etc.
• Provide additional support as needed to other HR Head and Delivery Head
• Ensure participation in training and development activities for self • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
• Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
• Maintain office supplies inventory by checking stock to determine inventory level% attendance in mandatory trainings for self
