Job Description

Role & responsibilities

1. Sales Support & Coordination

  • Support the sales team in day-to-day sales operations and field activities.
  • Act as a central point of coordination between sales, presales, procurement, finance, and service teams.
  • Track sales leads, enquiries, and opportunities from initiation to closure.

2. Lead Management & Follow-ups

  • Receive and allocate leads from various sources (website, IndiaMART, digital platforms, referrals).
  • Maintain accurate lead data and status updates in CRM or tracking sheets.
  • Perform regular follow-ups with prospects and internal sales teams.

3. Quotation & Order Processing

  • Prepare and issue quotations in coordination with presales and procurement teams.
  • Ensure pricing, margins, and approval matrices are followed.
  • Convert approved quotations into sales orders and coordinate order confirmation.

4. Client Communication

  • Communicate with customers regarding quotations, order status, delivery timelines, and documentation.
  • Address basic customer queries and escalate technical or commercial issues appropriately.
  • Maintain professional relationships with clients to support repeat business.

5. Internal Coordination

  • Coordinate with procurement for material availability and vendor timelines.
  • Liaise with logistics and service teams for delivery, installation, and commissioning schedules.
  • Work closely with the accounts team for invoicing, payment follow-ups, and documentation.

6. Documentation & Reporting

  • Maintain sales records, quotation logs, order details, and customer correspondence.
  • Prepare daily, weekly, and monthly sales reports for management review.
  • Track pending orders, ageing receivables, and pipeline status.

7. Payment & Closure Support

  • Follow up with customers for payments as per agreed terms.
  • Coordinate with finance for invoice generation and payment reconciliation.
  • Support sales closure by ensuring all commercial formalities are completed.

8. Marketing & Sales Enablement Support

  • Support marketing activities such as campaigns, product promotions, and events.
  • Share product updates, brochures, and offers with the sales team and customers.
  • Assist in updating online platforms and sales collaterals where required.

9. Compliance & Process Adherence

  • Ensure adherence to company sales policies, approval processes, and documentation standards.
  • Maintain confidentiality of pricing, customer data, and commercial information.

Preferred candidate profile

- Bachelor's degree in [relevant field].

- Proven experience in sales support and customer interaction.

- Strong training and mentoring skills.

- Proficient in email communication and documentation.

- Familiarity with ZOHO for estimate preparation and sales order processing.

- Excellent organizational and coordination abilities.

- Detail-oriented with a focus on delivering quality results.
