Job Location:- Hyderabad (Work from office)

Timing:- 5.30 PM to 2.30 AM IST (Drop facility available)

Job Summary:

We are seeking a detail-oriented and proactive Associate, Returns and Customer Service to join our team. In this role, you will be responsible for initiating and managing Return Material Authorization (RMA) requests to vendors, tracking returns, and ensuring timely credit processing. You ll serve as a key liaison between internal departments and vendors, helping to streamline credit and returns processes while supporting our sales, billing, and finance teams.


Key Responsibilities:

  • Initiate and Process RMAs:

    Accurately create Return Material Authorization (RMA) requests based on submissions from the sales team. Ensure all required information is complete and compliant with vendor-specific return policies.
  • Vendor Communication & RMA Submission:

    Act as the primary point of contact for submitting and managing RMA requests with various vendors. Maintain consistent and professional communication to ensure timely approvals and processing.
  • Customer Coordination:

    Notify customers of RMA approvals promptly, providing clear return instructions and follow-up to ensure timely return of equipment.
  • Return Tracking & Credit Reconciliation:

    Monitor the status of returned equipment to vendors. Follow up regularly to confirm receipt and validate the issuance of credit.
  • Credit Memo Management:

    Obtain and verify credit memos from vendors for both tangible and intangible items. Ensure accurate entry into internal systems for proper reconciliation and processing.
  • Discrepancy Resolution:

    Research and resolve issues related to duplicate shipments or billings, utilizing invoice data and collaborating with the Billing team to correct records efficiently.
  • Mailbox Management:

    Proactively manage shared department mailboxes in Outlook. Triage and assign incoming communications to the appropriate individuals or teams for timely resolution.
  • Data Entry & Documentation:

    Download credit memos from vendor portals or emails and create internal RMA records in accordance with department procedures. Maintain thorough documentation for audit and tracking purposes.
  • Cross-Functional Collaboration:

    Partner with internal teams including Sales, Sales Support, Accounts Payable, Accounts Receivable, and Billing to ensure alignment and clarity in the credit and returns process.
  • Process Improvement:

    Contribute to the refinement of internal procedures by identifying inefficiencies, suggesting enhancements, and participating in process improvement initiatives.


Qualifications:

  • Bachelor s degree in Business, Finance, Accounting, or related field or equivalent experience.
  • Prior experience in Sales Support, Accounts Receivable, or Billing is required.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Intermediate proficiency in Microsoft Outlook, Excel, and Word.
  • Familiarity with ERP systems and financial software; experience with Great Plains, Alteryx, and QlikView is a plus.
  • Excellent communication and interpersonal skills; team-oriented.
  • Strong attention to detail and organizational skills; able to manage multiple priorities.
  • Ability to work independently and escalate issues appropriately.
