Job Title: Receptionist

Location: Alloy Workspace
Department: Operations / Front Office
Reports To: Workspace Manager

Job Summary

The Receptionist at Alloy Workspace is the first point of contact for members, guests, and visitors. This role is responsible for creating a welcoming, professional, and efficient front-desk experience while supporting daily workspace operations. The ideal candidate is personable, organized, and customer-focused, with a strong ability to multitask in a dynamic coworking environment.

Key Responsibilities

Front Desk & Member Experience

  • Greet members, clients, and visitors in a warm and professional manner
  • Manage visitor check-ins, issue badges, and notify hosts
  • Answer and direct phone calls, emails, and general inquiries
  • Provide information about Alloy Workspace services, amenities, and policies

Administrative Support

  • Maintain front desk records, visitor logs, and meeting room schedules
  • Assist with mail handling, courier services, and package management
  • Support basic billing, invoicing, or membership administration as required
  • Coordinate meeting room bookings and ensure rooms are properly set up

Workspace Operations

  • Monitor common areas to ensure cleanliness and professionalism
  • Coordinate with housekeeping and maintenance teams for timely support
  • Assist in onboarding new members and orienting them to the workspace
  • Report operational issues or member concerns to the Workspace Manager

Event & Community Support

  • Assist with in-house events, meetings, and community activities
  • Support event setup, guest registration, and post-event coordination
  • Foster a positive community atmosphere among members

Skills & Qualifications

  • High school diploma or equivalent (Bachelor’s degree preferred)
  • 0–3 years of experience in reception, front office, hospitality, or customer service
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office / Google Workspace
  • Friendly, professional appearance and demeanor
  • Ability to handle confidential information discreetly

  • Experience in coworking spaces, business centers, hotels, or serviced offices
  • Customer-centric mindset with problem-solving skills
  • Ability to work independently and as part of a team
  • Flexible and adaptable to a fast-paced environment

Working Hours

  • Full-time / Part-time (Shift-based as per workspace operations)
