Job Description

Role Overview:The Front Office Billing Executive is responsible for managing patient billing, processing payments, maintaining billing records, ensuring accurate data entry, and providing excellent customer service. The role involves coordination between various departments to ensure smooth patient admissions, discharges, and billing. Key Responsibilities:1. Patient Registration and Front Desk DutiesGreet patients and visitors in a professional and courteous manner. Handle patient registration accurately in the Hospital Management System (HMS). Verify patient identity and collect necessary documents (ID proof, insurance cards, referral letters, etc.). Guide patients regarding billing procedures, insurance claims, and estimate generation. 2. Billing and Payment ProcessingGenerate provisional and final bills accurately. Collect payments via cash, card, UPI, or cheque, and issue receipts. Coordinate with the concerned departments (labs, pharmacy, wards) for service updates. Ensure timely and correct entry of charges for services rendered. 3. Insurance and TPA CoordinationCoordinate with TPA departments for pre-authorization, approvals, and insurance documentation. Submit insurance bills and ensure timely follow-up for approvals and discharges. Maintain proper documentation for audits and insurance verification. 4. Discharge Billing & Final SettlementCoordinate with nursing and medical teams for discharge intimation. Prepare and finalize discharge bills, ensuring all services are accounted for. Inform patients/relatives about the final bill and clarify queries. Process refunds or balance payments, if any. 5. Documentation and ReportingMaintain accurate records of daily billing and collection. Prepare and submit daily collection and billing reports to management. Ensure proper filing of bills, receipts, insurance forms, and patient documents. 6. Customer Service & CommunicationHandle patient complaints, queries, and feedback politely and promptly. Provide information about hospital services, tariffs, and billing-related policies. Coordinate with internal departments to ensure smooth operations. 7. Compliance & ConfidentialityEnsure compliance with hospital policies, finance procedures, and regulatory guidelines. Maintain the confidentiality of patient data and financial information. Skills & Qualifications:Minimum qualification: Graduate in Commerce or related field. Proficient in MS Office and Hospital Management Software (HMS). Good communication skills (English, Kannada, Hindi preferred). Strong attention to detail and numerical accuracy. Experience in hospital billing or healthcare front office preferred.
