Job Title: Receptionist FMCG Company

Job Summary

We are seeking a professional, organized, and customer-focused Receptionist to manage our front desk operations in a fast-paced FMCG environment. The ideal candidate will be responsible for creating a welcoming atmosphere for visitors, ensuring smooth communication between departments, and supporting daily administrative tasks critical to our business operations.

Key Responsibilities

Front Desk & Visitor Management

  • Greet and assist visitors, clients, suppliers, and business partners in a professional manner.
  • Maintain visitor logs, issue ID passes, and ensure compliance with office security protocols.
  • Manage reception area cleanliness and readiness at all times.

Communication & Coordination

  • Handle incoming calls, emails, and inquiries, and route them to appropriate departments.
  • Facilitate communication between sales, logistics, marketing, and other internal teams.
  • Coordinate meeting schedules, book meeting rooms, and support calendar management.

Administrative & Office Support

  • Manage daily office correspondence including courier, mail, and document distribution.
  • Maintain office supplies, stationery inventory, and place purchase requests as required.
  • Assist HR with onboarding coordination, documentation, and employee communication.
  • Support basic data entry, filing, and record-keeping tasks.

Customer, Distributor & Supplier Interaction

  • Address basic product or service-related inquiries and direct detailed queries to concerned teams.
  • Coordinate with suppliers, distributors, and transporters visiting the office.
  • Assist with order-related follow-ups by connecting customers to sales or logistics.

Reporting & Documentation

  • Maintain updated contact lists (clients, vendors, distributors, service providers).
  • Prepare daily/weekly reports such as visitor logs, call summaries, or courier tracking.
  • Support administrative projects and office process improvements as needed.

FMCG Environment Support

  • Coordinate distribution of product samples, marketing materials, and promotional items.
  • Provide support during audits, marketing events, and customer visits.
  • Liaise with field sales staff for document exchange or appointment coordination.

Required Qualifications & Skills

  • Diploma or Bachelor's degree in Business Administration or relevant field (preferred).
  • Proven experience as a receptionist or front desk officer, ideally in FMCG or similar fast-paced industry.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Professional appearance and a customer-centric attitude.
  • Ability to work under pressure and manage multiple priorities.
