Job Description

The Purchase Associate is responsible for assisting in the procurement process, ensuring that our organization maintains a steady supply of quality goods and services necessary for operational effectiveness. Key Responsibilities Creating purchase orders, and other relevant documents accurately and in a timely manner. Maintain effective communication with suppliers to track order status, resolve any discrepancies, and address potential issues. Maintain accurate databases and up-to-date records of invoices, purchase orders, Stock levels and other paperwork. Collaborate with internal departments to determine purchasing needs and specifications and ensure the purchase is done at the right time and delivered to the client department /Institution. Procurement & Purchasing: Negotiating contracts with suppliers and vendors and managing inventory levels and coordinating with suppliers for timely deliveries. Identifying cost-effective sources of goods and services and developing and implementing purchasing strategies. Ensuring quality of procured items and addressing problems. Vendor Management: identifying and building contacts of vendors of various items. Evaluating vendors based on quality, timeliness, and price by doing vendor analysis Record Keeping & Analysis: Maintaining accurate records of purchases, pricing, and other important data. Analyzing purchase data to identify trends and areas for improvement. Leading and managing a team of suppliers and buyers. Coordinating with fellow managers to monitor inventory and determine supply needs. Cost Savings: "Reduced procurement costs by X% through strategic vendor negotiations and contract optimization". Desired Candidate Profile Bachelors degree in Bcom, business administration, materials management. Minimum of 2 years of experience in procurement or purchasing role. Basic understanding of purchase concepts and Inventory management. Strong Interpersonal and negotiation skills with the ability to assess and interpret data. Proficient in using procurement software and Microsoft Office Suite. Knowledge of market research and supplier evaluation techniques.
