Job Profile: Purchase Assistant

Job Type: Full-time

Fixed Salary: 20000 to 25000 per month (based on experience).

Location: Nashik, Maharashtra (Head Office).

With two manufacturing units and a workforce of 150+ employees, we produce high-quality duffle trolleys, upright soft luggage, backpacks, and travel accessories at scale.Our department is critical to maintaining smooth manufacturing operations. It handles procurement of raw materials, accessories, and packaging, negotiates with suppliers, monitors material quality, and ensures timely delivery to meet production schedules. The team works closely with production and inventory departments to optimize stock levels, control costs, and support uninterrupted manufacturing.

Job Responsibilities:

1. Purchase Coordination

- Receive and review purchase requisitions from various departments.
-Obtain quotations from approved or new suppliers.- Prepare purchase orders (POs) and ensure proper authorization and documentation.- Follow up with suppliers on order status, delivery dates, and delays.

2. Supplier Management

- Maintain and update vendor databases.
- Assist in evaluating supplier performance based on price, quality, and delivery.- Negotiate prices or terms under guidance of the Purchase Manager.

3. Inventory & Documentation

- Coordinate with the store and production departments to ensure material availability.
- Maintain accurate purchase records, invoices, and delivery notes.- Verify supplier invoices against purchase orders and goods receipt notes.

4. Reporting

- Prepare and maintain daily, weekly, or monthly purchase reports.
- Track purchase costs and highlight variances from the budget.

5. Coordination with Other Departments

- Liaise with accounts for timely supplier payments.
- Communicate with logistics and store for receiving and stock updates.- Support quality control in verifying material specifications and standards.

REQUIRED QUALIFICATIONS:

Education:
- Bachelor’s degree in Commerce, Business Administration, Supply Chain Management, or related field.- Diploma or certification in Procurement, Supply Chain, or ERP systems is an advantage.

Experience:
- Typically 2 to 4 years of experience in purchasing, inventory, or store operations.- Experience in manufacturing or production environments (e.g., textiles, bag manufacturing, consumer goods) is highly preferred.

REQUIRED TECHNICAL SKILLS:

Procurement Software / ERP Tools
Tally ERP, SAP or similar.

Microsoft Office Suite
Excel (pivot tables, VLOOKUP, reporting), Word, Outlook.

Inventory Management Knowledge
Understanding of stock levels, reorder points, and GRN (Goods Received Notes).

Vendor Management Systems
Handling supplier lists, ratings, and documentation.

Basic Accounting Knowledge
Understanding of purchase orders, invoices, and payment terms.

Key Soft Skills:

- Strong communication and negotiation skills.
- Attention to detail and accuracy in documentation.- Good organizational and time-management abilities.- Ability to work under pressure and meet deadlines.
