Job Title: Support PMO

Location: Gurugram

Department: Finance

Reports To: Program manager/Transformation Lead-Finance

Role Overview:

The Support PMO will play a pivotal role in enabling and coordinating activities across the Project Management Support, Change Management & Communication, Reporting & Documentation, Travel & Expense (T&E), Payroll Transformation programs and Administrative & Operational Coordination

This role involves project tracking, stakeholder coordination, meeting and logistics management, and driving communication across multiple workstreams. The ideal candidate will have strong analytical skills, attention to detail, and expertise in managing T&E processes and cross-functional collaboration within a transformation environment.

Key Responsibilities:

Project Management Support:

  • Support the end-to-end execution of T&E and Payroll transformation initiatives under the PMO governance framework.
  • Develop, maintain, and track project plans, deliverables, dependencies, risks, and issues.
  • Prepare and maintain project dashboards, status reports, and trackers for leadership reviews.
  • Ensure timely follow-ups on action items, decisions, and escalations.

Cross-Functional Coordination:

  • Liaise with HR, Finance, IT, Compliance, and vendor teams to ensure seamless collaboration.
  • Coordinate across multiple workstreams to align priorities, timelines, and deliverables.
  • Act as the central point of contact for scheduling meetings, coordinating workshops, and ensuring readiness of participants and materials.

Travel & Expense (T&E) support:

  • Support process optimization, automation, and policy alignment across T&E operations.
  • Partner with Finance and HR teams to review expense reports, reimbursement cycles, and system integration.
  • Provide insights and analytics on expense trends, policy adherence, and efficiency improvements.

  • Payroll Transformation Support:

  • Assist in payroll transition activities, including data validation, UAT coordination, and cutover planning.

  • Work with cross-functional teams to align payroll processes with new system requirements.

  • Support post-implementation reviews and stabilization efforts.

Change Management & Communication:

  • Support the PMO in driving change management initiatives, stakeholder engagement, and communication planning.
  • Prepare training materials, communication decks, and status presentations for leadership.
  • Help facilitate workshops, change sessions, and align meetings across teams.
  • Administrative & Operational Coordination:

Set up and manage project meetings, including scheduling, calendar invites, and room bookings.

  • Coordinate logistics for in-person sessions such as arranging meeting rooms, setting up equipment, organizing lunches, and other on-site requirements.

  • Maintain accurate documentation of meetings, action items, and follow-ups.

  • Provide general administrative support to ensure smooth project operations.

Reporting & Documentation:

  • Prepare professional PowerPoint presentations and Excel-based reports for management updates.
  • Maintain updated documentation for governance, minutes, decision logs, and key project artifacts.
  • Present project metrics and highlights to senior stakeholders and cross-functional teams.

Required Skills & Qualifications:

  • Bachelors degree in business administration, Finance, HR, or related discipline (Masters preferred).
  • 4-7 years of experience in PMO, Project Coordination, or Transformation roles.
  • Strong knowledge of Travel & Expense (T&E) processes and tools
  • Exposure to Payroll transformation or implementation projects preferred.
  • Excellent command of MS PowerPoint and Excel ability to create dashboards and executive presentations.
  • Strong communication, interpersonal, and stakeholder management skills.
  • Demonstrated ability to multitask, prioritize, and work in a fast-paced environment.
  • Experience in Change Management and governance reporting is an advantage.
