Job Description

Personal Assistant


Key Responsibilities:


1. Executive & Personal Support

  • Manage the Founders’ calendars, meetings, and travel plans with precision.
  • Handle correspondence, calls, and emails with the utmost confidentiality.
  • Prepare briefs, presentations, and meeting minutes, and ensure timely follow-ups.
  • Act as the first point of contact for internal teams, business partners, and VIPs.
  • Organize and maintain structured records and documentation.


2. Villa & Lifestyle Management

  • Oversee day-to-day operations of the Founders’ villa, ensuring smooth functioning and high standards.
  • Supervise household staff, security, drivers, and external vendors.
  • Manage procurement of supplies, home essentials, and hospitality arrangements.
  • Coordinate property maintenance, repairs, and upgrades with vendors or service providers.
  • Ensure the villa is always guest-ready and maintains luxury standards.


3. Travel & Logistics

  • Plan and manage domestic and international travel, including flights, accommodations, and ground transportation.
  • Prepare detailed itineraries, manage travel documentation, and handle expense reporting.


4. Confidentiality & Discretion

  • Maintain the highest level of confidentiality and discretion in all matters.
  • Handle sensitive information with integrity and professionalism.


5. Personal & Financial Coordination

  • Manage petty cash, villa-related expenses, and vendor payments.
  • Liaise with finance teams for reconciliations, documentation, and approvals.
  • Assist the Founders with personal errands, appointments, and day-to-day needs.


Desired Profile:

  • Graduate / Postgraduate in Business Administration, Hospitality, or related field.
  • 5–10 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting Founders, CXOs, or UHNWIs.
  • Exceptional organizational, interpersonal, and communication skills.
  • Tech-savvy with proficiency in MS Office, scheduling tools, and villa management software.
  • Discreet, adaptable, and able to anticipate needs proactively.
  • Polished, professional demeanor with a service-oriented mindset.
  • Comfortable working in high-pressure, fast-paced environments and beyond standard hours when required.
